CSV import
One file, and a company’s employee records are in
Export the list from your payroll software or old spreadsheet, upload it and check the preview. Missing sites are created automatically, and whoever is already there is not duplicated.
A new client should not cost you a week of data entry
When a company with two hundred employees comes in, retyping them one by one is not an option. With CSV import you start from the list you already have: Anagrafika detects the separator on its own, shows you what it is about to create and, at the end, tells you exactly what went in, what was skipped and why. If you upload the same file again by mistake, the employees already there stay as they are.
How it works
-
You prepare the file
One CSV per company with company, surname, first name, employee ID, tax code and site. Comma, semicolon or tab are all fine. If you want a template, download one of the sample files.
-
You check the preview
Anagrafika shows the rows it found and the file’s company: you link it to an existing one or create it as new. Nothing is written until you confirm.
-
You read the report
At the end you see how many employees were created, how many were skipped because they already existed, which rows have an error and which sites were created automatically, with the row number next to each problem.
The list you already have is the starting point. You do not retype it: you upload it.
What you can do
-
Sites are created on their own
If the file mentions a site the company does not have yet, Anagrafika creates it and tells you so in the report. The same goes for the company, if you choose to create it as new.
-
No duplicates
An employee whose ID already exists in the company is skipped, not duplicated. You can upload an updated file without worrying about ending up with the same person twice.
-
It finds the separator
Comma, semicolon or tab: Anagrafika recognises it and tells you how many rows it read. The file exported from your software works as it is.
-
Ready-made sample files
From the import window you can download two sample CSV files, with fictional employees spread across two sites: you see right away how to lay out columns and rows.
-
Errors explained row by row
A row without a tax code or employee ID does not block the others: it is set aside and listed with its number and the reason, ready to be fixed.
-
The limit checked row by row
If the file exceeds the number of employees your organisation is set up for, the ones that fit go in and the rest stay out, listed one by one. No half-finished import without knowing where it stopped.
Frequently asked questions
Can I import employees of several companies in the same file?
No: each file holds the employees of a single company, so the preview stays clear and nothing gets matched wrongly. If your list mixes several, Anagrafika tells you, with the count per company, and you split it into separate files.
What happens if I upload a file I have already imported?
Employees whose ID already exists are skipped and counted as such in the report; only the new ones go in. So you can add the month’s new hires by uploading the full list again.
Is the tax code required in the file?
For new employees, yes: a row without a tax code is set aside and reported, while the others go in normally. The site, on the other hand, is only needed if the company has several sites.
Who can import employees?
Anyone allowed to manage employee records. A colleague enabled only on some companies can import only into those and cannot create new ones: new companies are opened by someone with full access.
