Klokka extension

The week written in advance, the timer starting from there

On Monday you line up what needs doing: the client website review on Tuesday at 10, the progress call on Thursday, the end-of-month report. When the time comes, the agenda item starts the timer with client, project and activity already chosen, and once the timer stops Klokka asks whether you finished it.

A work agenda, not another calendar

An agenda item is something to do on a given day: title, time or all day, priority, notes, a link and, if you like, client, project and activity to report it against. It can repeat — every day, every week, every month or on a cadence of your own, until a date or for a set number of times — and when you edit it Klokka asks whether the change applies to all occurrences or from this one on. Whoever has the privilege assigns it to colleagues in their groups, or to the whole company if the user type allows: each one gets their own copy and a notification, and completing it is up to them. Items cannot be created in the past: the agenda looks ahead, what already happened lives in the time entries.

How it works

  1. Plan

In day, week or month view, pick the day and “Add activity”. If plans change, drag the item to another day.

  2. Start from the item

“Start timer” on the item: the timer starts with the item’s client, project and activity. If the project is missing, Klokka has you add it first.

  3. Close the item

When you stop the timer, Klokka asks whether the activity is complete or whether you will finish it later. A done item can be reopened, or duplicated to do it again.

What you planned is already ready to become logged hours.

What you can do

  • Day, week, month

Three views of the same agenda, with completed items counted against the total. The monthly “Overview” shows upcoming tasks alongside.

  • Recurrences

Every day, every 2 weeks, every 3 months or a custom cadence, until a date or a number of times. The weekly check is written once.

  • For a colleague

With the privilege to assign, the item goes to one or more colleagues: one copy per person and a notification to each. With “Others” you review, read-only, what you handed over.

  • On a calendar too

“Also add to a calendar” copies the item to a Kalendo calendar and can mark you as busy on the company calendar. The copy is made only once.

  • History and favourites

Items already used stay in the “Task history”: search them, mark them as favourites and reuse them without retyping.

Frequently asked questions

Can I log hours without the Agenda?

Yes: the timer and time entries do not depend on the agenda. Switching it off removes the section and its dashboard widget, and Tasks cannot be used, since they require the Agenda to be on.

Who can put items in a colleague’s agenda?

Whoever has, in their user type, the privilege to assign agenda activities: normally to colleagues in their own groups, to the whole company if the privilege is extended. Whoever receives the item finds it in their agenda and decides when to complete it.

Does the calendar copy stay in sync with the item?

No, on purpose: the event is copied only once. If you later move or delete the agenda item, the calendar event stays as it was.
