Hours on every job: what each project really earns

Hours turn into readable numbers: what a job cost, what was invoiced, what is left. And when the client asks for detail, you send a link instead of a spreadsheet.

The project that looked good

Almost every service company has at least one client who turned out to be a loss while looking like one of the best. It is not carelessness: without reliable hours linked to rates and costs, that number simply does not exist. Klokka computes it as you go, so the discovery does not arrive at year end.

How it works

  1. Choose the angle

By client, by project, by person, by period. Pivot tables cross the axes you need: one user across all projects, all users on one project, this month against last.

  2. Read the margin

Hours priced with the client’s rates, set against labour cost: what remains is the job’s margin, visible without exporting anything.

  3. Send it to the client

The statement becomes a link protected by password or by an emailed code. The client opens it in the browser, with no account. You see who opened it and can revoke it whenever you like.

A job’s margin is either a number or an impression.

What you can do

  • Summaries and pivots

Summaries by client and project, and cross views by person: the same reality read from whichever angle the current question needs.

  • Margin per job

Revenue, cost and margin computed on real hours, not on an estimate made in January and never touched again.

  • Client statements

A link with the hour detail, protected by password or a one-time emailed code, revocable at any time.

  • Access tracking

You know whether and when the statement was opened and downloaded: the “I never got it” dispute stops being one word against another.

  • Absence recap

Holidays, leave and sick days summarised next to worked hours: the picture of the period is complete when it has to go to payroll.

In depth

In depth

  • Rates and internal cost

How much an hour is billed is decided by the rate, and the rate sits on the client, the project or the sub-project. How much that hour costs is decided by the person who worked it. Klokka keeps the two numbers apart, shows them only to those who should see them and sets one against the other in the reports: that is where the margin comes from.

Extensions

  • Client statements

At the end of the month the client asks what you worked on. The statement tells them: hours and billable value for the period, per member and entry by entry, on a page with your logo that opens in the browser.

  • Billing

Every month you export the hours for the invoice. The risk is not only forgetting some: it is putting last month’s back into the file. With this extension exported entries stay marked, and the next export picks up where you left off.

  • Jobs

Hours live in Klokka; plans, deliveries and tasks in Projekta. This extension puts them in a single table: for each job how much was planned, how much has been logged, what is missing, and why the light is yellow or red.

Frequently asked questions

Does the client need a Kamzan account to see the statement?

No, and that is the point. They get a link that opens in the browser, protected by a password or by a code sent via email. No sign-up, no app to install.

Can access to an already sent statement be withdrawn?

Yes, the share can be revoked at any time and the link stops working. The record of accesses that happened before the revocation remains.

Does the margin account for the cost of people?

Yes, when cost is configured. Hours are valued at revenue using client and project rates and compared with labour cost, so margin is a number rather than an impression.
