Klokka extension
One job for three companies. A single entry.
The accounts of a group of companies, advice that serves two sister companies, a meeting with the partners of several businesses: when the same work concerns several clients, a company group saves you from splitting hours by hand or logging them three times.
The problem of hours split three ways
Without groups, work that concerns several clients ends up one of two ways: all the hours on a single client, and the others vanish from the reports, or the same hour logged several times, and your total swells. With this extension the project belongs to the group, the entry says which companies it concerns, and the two counts stay separate: each company sees the work in its own reports, while your hours count only once.
How it works
-
Create the group
In “Clients”, “Company groups” tab, pick at least two companies and name the group. The companies stay those of the shared client list: the group is an extra link, not a copy.
-
Assign the project to the group
A project belongs either to a client or to a group. You create it by hand or apply a structure template straight to the group, sub-projects included.
-
Log time and pick the companies
When you pick a group project, the form shows the group’s companies, already selected: remove those that are not involved and save a single entry. It works the same way from the timer.
One job, three companies. The numbers still add up.
What you can do
-
Your hours count once
There is a single entry: your totals do not double because the work touches several clients.
-
The work in each company’s reports
In the per-client reports the entry appears in full under each linked company: whoever looks at a client sees all the work done for it too.
-
Groups in the menus
In the Client field, groups sit next to the companies, labelled “Group”. Pick one and the project list narrows to the group’s projects.
-
Templates applied to the group
Structure templates apply to a group just as to a client: recurring work that concerns several companies starts out already organised.
-
Statements per single company
With the Client statements extension, a company’s statement also includes the entries of the group projects that concern it.
Frequently asked questions
Who can create and edit groups?
Whoever has the “Catalogue management” privilege, the same one needed for clients and projects. Everyone else sees the groups in the menus and logs time on them.
Does an hour that concerns three companies count as three hours in the per-client reports?
It appears in full under each company, because it is work done for that company too. In the person’s totals, however, it stays one hour: it is a single entry.
If I delete a group, do I lose projects or clients?
No. Deleting the group deletes neither the projects nor the clients: only the link that held them together goes.
And without this extension?
Each project belongs to a single client and groups do not appear in the menus: shared work is logged on one of the clients, or split by hand.
