Klokka extension
Bill everything, but only once.
Every month you export the hours for the invoice. The risk is not only forgetting some: it is putting last month’s back into the file. With this extension exported entries stay marked, and the next export picks up where you left off.
A mark on the hours, not a separate sheet
The export itself sets the mark: after the CSV, Excel or PDF download, an administrator marks the entries as exported, with date and author. From then on the “Already exported” filter separates them from the rest. Hours awaiting approval, and those of a week not yet approved, are not marked: until they are approved they are not ready for the invoice. Without the extension exporting works as always, but with no filter and no mark.
How it works
-
Filter what to invoice
In “Export entries” choose period, client, project and billability. In the “Already exported” field the default choice is “Only not exported”.
-
Download and mark
Tick “Mark entries as exported after download” and download as CSV, Excel or PDF: the entries in the file stay marked.
-
Next month, start from there
The same export offers only the new hours. Those already invoiced remain viewable with “Only exported”, and in the file the “Exported on” column says when.
An hour is billed once. Klokka remembers.
What you can do
-
“Already exported” filter
All, only not exported, only exported: three choices to start again, double-check or redo a file.
-
Date and author of the mark
Every marked entry carries when it was exported and by whom.
-
New rates do not rewrite the past
When you change a rate or billability, Klokka offers to recalculate the amounts of entries not yet exported only. Those already invoiced stay as they are.
-
Approval first, then the invoice
Entries awaiting approval and weeks not yet approved cannot be marked as exported.
-
The same mark as client statements
A statement shared with the client marks the hours it contains as exported: no duplicates arise between statement and invoice.
Frequently asked questions
Who can mark entries as exported?
Only the company’s administrators. The “Already exported” filter, on the other hand, is available to anyone who exports entries.
Does Klokka issue invoices too?
No. Klokka prepares the hours to invoice and keeps track of those already exported; you issue the invoice with the software you already use.
If I change a client’s rate, do hours already invoiced change?
No. Recalculating amounts concerns only entries not yet exported: what has already gone into an invoice stays as it was.
