How to calculate hours worked

The rule is simple: hours worked = end time minus start time, minus the break. For example, from 9:00 am to 6:00 pm with a one-hour break is 9 hours on site minus 1 for the break, so 8 hours worked. To get the monthly total, just add up the hours of all the days worked.

How it works

  1. Enter your times

For each day, enter the start and end time. Empty days are not counted.

  2. Add the break

Enter the break in minutes, for example 60 for a one-hour lunch break.

  3. Read the total

See the hours for each day and the weekly total, in hours and minutes and in decimals.

Start, end, break: the calculator does the rest.

What you can do

  • Lunch break included

The break minutes are deducted automatically from each day’s hours.

  • Night shifts

If the end time is earlier than the start time, the shift is counted as ending the next day.

  • Hours and decimals

The total appears in hours and minutes and in decimal format, handy for payroll and invoices.

  • Data stays on your device

The calculation runs in your browser: the times you enter are neither sent nor stored.

When the calculator is no longer enough

The calculator is fine for checking a single week. When you need to track hours for your whole team, month after month, Klokka records them as people work, links them to clients and projects, and prepares the timesheet for you.

Frequently asked questions

How do you calculate hours worked with a lunch break?

Subtract the start time from the end time, then subtract the break. From 8:30 am to 5:30 pm with a 60-minute break is 9 hours minus 1, so 8 hours worked.

How do I convert minutes to decimals?

Divide the minutes by 60: 30 minutes is 0.5 hours, 45 minutes is 0.75. So 7 hours and 30 minutes is written as 7.5 hours.

How do I calculate hours worked in a month?

Add up the hours of all the days worked in the month. With a fixed schedule, multiply the daily hours by the days worked: 8 hours times 21 days is 168 hours.

How do I calculate hours worked in Excel?

With the start in A2, the end in B2 and the break minutes in C2, use the formula =(B2-A2)*24-C2/60 and format the cell as a number. The result is in decimal hours.
