Klokka extension Coming soon

Two clients in the same hour. Only one hour on your balance.

A call for one client while you answer another’s emails: that is two jobs for two clients, and both must be billed. But you worked one hour, not two. With this extension Klokka keeps the two figures apart, only for the people the administrator chooses.

Tracked hours and worked hours

When the entries of a chosen person overlap, Klokka uses two numbers. Tracked hours are the sum of the durations: each activity is billed in full, and hour and revenue reports stay as they are. Worked hours count each hour only once: they are the ones for balance, overtime, attendance sheet and reminders about missing hours. Internal cost follows worked hours: in the minutes when three entries are running, the cost of those minutes is split into three equal parts, and project margins and actuals read it that way. The running timer remains one per person; parallel activities are logged by hand or by adjusting the times. The extension starts off and Kamzan turns it on at the company’s request; even when on it changes nothing by itself: those not chosen, and everyone without the extension, log and count as before, and overlapping entries add up.

How it works

  1. The company requests the extension

It is included in Klokka but starts off: Kamzan turns it on when the company requests it. By itself it changes no number.

  2. The administrator chooses who

In “User management”, in a person’s “Reporting options”, they switch on “Parallel timers”. It applies only to that person and does not touch their user type.

  3. The figures split by themselves

From then on, that person’s overlapping entries are billed in full, while balance, overtime and internal cost count the time only once.

Billing twice is fine. Working the same hour twice is not.

What you can do

  • Each client pays for theirs

Tracked hours are left untouched: the call and the emails appear in full on the two projects, in reports and on the invoice.

  • A worked hour is one hour

Balance, overtime, attendance sheet and missing-hours reminders do not inflate: an hour with three entries running remains one hour.

  • Cost split by time slices

In each stretch of time the person’s hourly cost is split equally among the running entries: no project’s margin pays for the time twice.

  • Person by person

You choose only those who really work this way. For everyone else Klokka counts as always, including overlapping manual entries, which add up.

Frequently asked questions

Can I run two timers at the same time?

Not yet: that is the part of the extension still to come. Today there is one running timer, and starting another stops the first; the extension already changes how overlapping entries are counted — the timer’s and those entered by hand or corrected afterwards.

What if the company blocks overlapping entries?

Klokka’s settings have “Block overlapping manual entries”: when it is on, a manual entry overlapping another cannot be added. To log parallel activities it must be left off.

What if I turn the option off for a person?

They go back to logging and counting as before: their overlapping entries add up in worked hours and cost too.
