Time logging
The employee timesheet: the whole week in one table
Not everyone works with a timer running. In “Weekly hours” each person sees one row per client, project and activity and one column per day: they enter hours where they are missing, check the total and, if the company requires it, send the week for approval.
The hours spreadsheet, without the spreadsheet
A timer is for while you work; a timesheet is for Friday evening, when you tidy up the week and want to see at once where hours are missing. The shape is the sheet you already know, rows of work and columns of days, but every number is a real entry: linked to client, project and activity, and valid for reports, the attendance sheet and exports, with nothing to copy out at month end.
How it works
-
Open the week
In “Time entries”, “Weekly hours” tab: one row per client, project and activity, one column for each day from Monday to Sunday. The arrows change week, “Today” brings you back to the current one.
-
Enter hours where they are missing
Click the empty cell for the right day and the entry opens with project and date already filled in: only the time is left to enter. A filled cell opens for correction; if it holds several entries, you see them in a list.
-
Check and, if needed, submit
At the bottom are each day’s total and the week’s total. For people on weekly approval there is “Submit for approval”: administrators get a notification and an email, then approve or send it back with a reason.
On Friday evening, just one table.
What you can do
-
Timer and timesheet on the same data
Whoever prefers the timer uses it, whoever fills in at week’s end uses the table: the entries are the same and end up in the same reports.
-
A reminder before the weekend
From Friday at 3 pm to Sunday, people on weekly approval with unsent hours get a reminder. Submitting stays the person’s choice: Klokka does not do it for them.
-
An approved week is closed
A submitted or approved week cannot be edited, not even by an administrator. Correcting it takes “Reopen”, and the reopening stays in the change log.
-
Hours ready for payroll and invoices
Hours export to CSV, Excel and PDF and feed the monthly attendance sheet. Those still awaiting approval stay out of the export.

Frequently asked questions
What is a timesheet?
It is the sheet where a person records how many hours they spent on each job, usually week by week. In Klokka it is an online table: one row per client, project and activity, one column per day.
Does Klokka also do badge clock-in?
No. Klokka records how many hours are worked and on what, with the timer or in the timesheet; it is not a clock-in system with badges or terminals. If you need that, a dedicated time clock suits you better.
Do weeks have to be approved?
No, the mode is chosen person by person: no approval, per entry or weekly. The timesheet works the same way in all three cases.
Can I bring in hours I kept elsewhere?
Yes: Klokka imports history from a CSV file exported from other programs. You only need it once, at the start.
