Flow builder
Describe once what you need, and reuse it for every client
You organise the request into areas, topics and steps, and for each step you choose what to ask for: one file, several files, a form to fill in, a signature or a question. The flow becomes a template: you activate it for as many clients as you like, without rewriting the list every time.
A list of documents cannot live in an email
Anyone who collects documents for a living knows the script: an email with the list, replies with scattered attachments, files called “scan001.pdf” and the question “was anything missing?”. In Flow the list becomes a structure: every request has its place, its formats and its name. The client knows what to upload, you know where to find it.
How it works
-
Shape the request
A guided procedure in five steps: Info, Organization, Display, Structure, Summary. You choose whether to present the steps directly, group them into topics or split them into thematic areas, such as “Company documents” and “Tax documents”.
-
Choose what each step asks for
Single, multiple or repeatable upload, document fill-in, electronic signature or question. For each field you decide whether it is required, which formats it accepts and what name the file will arrive under.
-
Save it and reuse it
The saved flow is a template: you activate it for every client or supplier, duplicate it to make a variant, export it as JSON and import it again when needed. Areas and topics you have already written can be imported from other flows.
The list of documents becomes a path.
What you can do
-
Six types of step
One box for the company registration extract, two boxes, Front and Back, for the ID card, a multiple upload for the quarter’s invoices. Or a form to fill in, a PDF to sign with kSign, a question. Each step asks for one thing only, and the client understands straight away what is needed.
-
Repeatable entries
The payslips of every employee, the documents of every property: with a repeatable upload the client adds the entries, each with its own label. A whole topic can be repeatable too, with a set of files for each instance.
-
Questions that guide the way
Single choice, drop-down menu, yes/no, free text, number with its unit of measure, date. You can ask for a file to be attached to the answer, optional or required: “Do you have a certified email address? Attach the receipt.”
-
Files that arrive with the right name
Each file takes the name of the step and the field: no more “scan001.pdf”. With “Name from user” the client names it, useful when the same field takes different documents. With “Upload whole folder” the subfolders arrive too, just as they are.
-
Formats under control
PDFs, images, documents, spreadsheets, presentations, signed P7M files, compressed archives: for each field you choose what to accept, and a file with the wrong extension does not get in. Your company decides the maximum file size.
-
A tidy catalogue
Categories with their own colour to find your flows again, such as “Client onboarding” or “Tax return”, one-click duplication, import of areas and topics from other flows. The builder is designed for the computer screen, where you can work calmly.
Frequently asked questions
Do I have to rebuild the flow for every client?
No. The flow is a template: you build it once and activate it as often as needed, for Studio Morelli as for Ferrari Design. Each activation is a collection of its own, with its own participants, deadlines and files.
Can I ask for a form to be filled in instead of a file?
Yes, with the Document fill-in step. A PDF with fillable fields is completed directly in the browser; Word and Excel files are completed online with the “Online document fill-in” extension. Either way, the client can also download the template, fill it in and upload it again.
Does Flow check the content of the documents?
Flow checks the format, from the file extension: if the field only accepts PDFs, a photo does not get in. The content is checked by a person on your team, through document review: valid or rejected, with the reason.
If I change a flow that is already active, what happens to ongoing collections?
You decide. You can apply the changes to the collections you select, and the participants are notified; or, to leave the ones already under way untouched, you save the changes as a new template.
Can I build a flow from my phone?
Flows are built on a computer: areas, topics and fields need a wide screen. Your clients, on the other hand, can upload from their phone without any trouble.
