Dashboard and summaries

Who has delivered and who has not, at a glance

No spreadsheets full of ticks, no inboxes to reread. Flow shows you which collections are stuck, which are waiting for a review and which are about to expire, and for each client the exact list of what is missing.

Knowing where you stand should not take a meeting

When there are thirty clients and a dozen documents each, the question “who are we still missing?” eats up your mornings. Flow answers it for you. The dashboard sorts collections by status; each collection summary shows, participant by participant, what has been uploaded, what needs validating and what was rejected. Client questions sit next to the step they refer to, and every action, from the first upload to the last nudge, goes into the activity log. If many of you work on it, each coordinator sees their own client companies and nothing else.

How it works

  1. You look at the dashboard

Six counters tell you straight away where to look: Not started, In progress, To validate, Completed, Due soon, Expired. One click and you see the collections in that group.

  2. You open the summary

Each collection has its tabs: Upload, Validation, Q&A, Deadlines, Activity. Filter files by All, Uploaded, Missing or Rejected and find what you need right away.

  3. You act where needed

From there you nudge whoever is behind, answer a question, download the summary CSV or the ZIP of the documents. When the collection is done you pause or archive it.

Who are we missing? Flow knows before you ask.

What you can do

  • Each coordinator, their own clients

With Coordination you assign client companies to colleagues: each follows their own collections, as cards or a table, without getting lost in everyone else’s. If a client changes contact person, visibility follows.

  • Questions next to the step

When a client asks “which company report do you need?”, the question lands in the Q&A tab tied to the right step. You answer from there, and add internal comments the client does not see, or public ones they read.

  • A log of every step

Uploads, validations, nudges, deadline changes, participants added or removed: more than 35 event types end up in the Activity tab, with who did what and when. The Audit log tells you who created or changed flows, collections and requests, and when.

  • CSV and ZIP in one click

Download the collection’s summary CSV, or have it emailed to you, and the ZIP of all the documents with a folder per participant. With the Analytics extension you see how uploads and validations are trending.

  • Notifications to those who need to know

A file uploaded, a collection completed, a question, a signature received, a validation running late: Flow alerts the people with the right role in the app and by email, not the whole office.

  • Pause, archive and trash

Pause a collection and participants cannot upload until you reactivate it; archive it when it is done and the files stay available. A collection deleted by mistake can be recovered from the trash.

Frequently asked questions

Can I see only the clients I look after?

Yes, with Coordination, an extension enabled by default: the administrator assigns each coordinator their client companies, and each sees those clients’ collections as cards or a table.

Can I export the status of a collection?

Yes: the summary downloads as a CSV or arrives by email, and the documents download as a single ZIP with the folder structure. For the company archive there is also “Archive to Files”.

Can you see who did what?

Yes. Each collection has its own activity log with more than 35 event types, from the uploaded file to the reminder sent, with author and time. The Audit log tells you who created or changed flows, collections and requests, and when.

Does the dashboard work on a phone too?

Yes, to check where you stand: dashboard, summaries and coordination cards are readable on mobile too. The coordination table view and flow building are designed for a computer.
