Conditional logic
Each client only sees the requests that concern them
One question at the start, such as “Do you have employees?” or “Are you a company or a sole trader?”, and the flow adapts: the steps that matter appear, the ones that do not disappear. One flow, many paths, and no more “skip this if it does not apply”.
A list that is the same for everyone is wrong for each one
A sole trader has no shareholder register, a private individual has no company registration extract, a business without employees has no payslips. With a fixed list the client wonders what to skip and you get “not applicable” instead of files. Conditional logic moves the choice inside the flow: the client answers, and the page shows only what they need to hand in.
How it works
-
Ask the right question
Add a Question step: single choice, drop-down menu, yes/no, text, number or date. Its answer is where the conditions start from.
-
Link the conditions
On an area, a topic or a step you choose “Show only if”: the answer equals a value, differs from it, contains it or is not empty. Or: a file has already been uploaded in an earlier step.
-
The path adapts
The client moves forward one step at a time and only sees what concerns them. Required documents in a hidden branch do not count towards progress and do not block submission.
One more question at the start, ten fewer emails at the end.
What you can do
-
Conditions on three levels
A condition can hide a whole area, such as “Staff” for businesses without employees, a single topic or just one step. Choose the right level and the flow stays easy to read.
-
Answers and documents as triggers
Equals, differs, contains, not empty: four comparisons cover almost every rule. And if the next step depends on a file, the condition can check whether the earlier step already has a document uploaded.
-
No file lost by mistake
If the client changes an answer and thereby hides a branch where they had already uploaded files, Flow tells them and asks for confirmation before removing them. If those documents have already been validated, the answer cannot simply be changed: a change request goes to your team.
-
Step by step or single page
Without conditions you choose how people navigate: one step at a time or everything on one page, and you can leave the choice to the participant. With conditional logic on, the path is always step by step, because each answer prepares the next step.
-
Exclusions for individual participants
Did Rossi & Partner already give you their articles of association last year? Exclude that step, even if it is required, just for them or for all participants in the collection. The flow stays the same; only what that person has to hand in changes.
-
Access limited to areas and topics
When several people work on the same file, each can see only their own part: the payroll consultant the “Staff” area, the accountant the “Tax” one. Less noise for them, fewer files in the wrong place for you.
Frequently asked questions
How do I turn on conditional logic?
It is a Flow extension, already active when you start. You switch it on in the Organization step when creating the flow; then, in the Structure, each area, topic or step can have its own condition.
Can I use the single page or the introductory dashboard with conditions?
No: with conditional logic the path is always step by step and the introductory dashboard is not available. It is deliberate: the answers decide the following steps, so the order matters.
Can a condition depend on a document rather than an answer?
Yes. Besides answers, a condition can check whether a file has been uploaded in an earlier step: for example, the “Proxy” area appears only after the client has uploaded the proxy’s ID document.
Can I exempt a single client from a required document?
Yes, with exclusions in the collection summary: exclude the step or the whole topic for that participant, or for everyone. There is no need to touch the flow, and the exclusion is recorded in the activity log.
