Invitations
One invitation, one personal link: the client does not have to create any account
Choose the company, the flow and the people: each one receives an email with their own link and uploads without a password or registration. If you need more security, add verification with a code sent to their email.
The client does not want another account
Every extra password is one more reason to put things off. The client’s accounts department, the supplier’s purchasing office, the new hire: they all have an email address, few of them want to sign up to a portal to send you three PDFs. With Flow the invitation is already the way in: a personal link, tied to that person and that collection.
How it works
-
Choose company and flow
Activation follows five tabs: Company, Flow, Settings, Mode, Participants. You start from the recipient company, for example Ferrari Design, and the flow to activate; then you name the collection and set deadlines, review and verification.
-
Add the people
One by one, or all together from a CSV file with email, first name, last name, company, phone and language. Then you choose: each person completes their own flow, or everyone works on the same file.
-
The invitation goes out
Each participant receives an email with their personal link, in their own language among the seven available. From there they upload, answer and submit: no account, no password to remember.
One link, no password: the shortest road to a document.
What you can do
-
One link per person
The link is personal: Flow knows who is uploading, and every file, answer and question stays tied to that person. In the collection log you see who did what, without having to ask.
-
Verification with an email code
In case a link gets forwarded, “OTP verification” asks for a code sent to the participant’s email. You choose when: at every access, the first time only or every 24 hours.
-
Individual or co-flow
Twenty candidates, twenty copies of the same flow: that is individual mode. The three partners of Rossi & Partner preparing a single file: that is co-flow. And in co-flow you decide whether files are shared and editable by everyone, shared read-only or isolated per person.
-
A hundred participants with one CSV
You paste or upload the file and Flow checks every row before going ahead: invalid and duplicate email addresses are flagged with their row number, so you fix them straight away. New contacts also land in the Kontacts address book.
-
Participant portal
For people who send you documents all year round there is the Participant portal extension: they log in with email and a code and find all the flows assigned to them, with To start, In progress, Completed, To re-upload and Expired cards as filters.
-
Internal uploader
Sometimes a colleague has the documents: the HR office, the Milan branch. With the internal uploader, flows can be assigned to colleagues too, who upload from the app with their Kamzan account. It is an extension already active when you start.
Frequently asked questions
Does the client have to sign up?
No. They open the link they receive by email and upload. If you turn on verification, they also enter a code sent to the same email address. Only people using the Participant portal log in with email and code, still without a password.
Can I invite several people to the same case?
Yes, with co-flow: everyone contributes to the same file and a document uploaded by one person counts for all. You can also limit each person to the areas or topics that concern them.
Which language is the invitation in?
In the language you set for the participant, including from the “language” column of the CSV: Italian, English, Spanish, German, French, Chinese or Portuguese. The same goes for reminders and follow-ups.
Can I request documents from my colleagues too?
Yes, with the internal uploader: you assign flows to colleagues, who find them in the app and upload with their Kamzan account.
