Upload page

The client opens the link and knows straight away what is missing

A single page, with your logo and your colours: progress at the top, the deadline in view, one step at a time. You drag in the file, fill in the form in the browser, sign, and at the end “Send for validation”. It works on the phone too.

If uploading is hard, the document does not arrive

Every obstacle on the client’s page turns into a follow-up on your desk: the file too heavy for email, the form to print, the doubt about which document you meant. The Flow page removes the obstacles one by one: it says what is needed, in which format, by when, and lets them ask the question right there, on the step.

How it works

  1. They open the link

If you turned on verification, “Protected access” appears and a code arrives by email. Then come the name of the collection, the description, the deadline and the “Start uploading” button.

  2. Upload, fill in, sign

“Step 2 of 8”: each step says what is needed and which formats it accepts. You drag in the file or pick it from your phone, fill in online or download the template, sign with “Sign document”.

  3. Submit

When everything is ready, “Send for validation”. The page confirms “Documentation sent!” and explains that a notification will follow if anything needs correcting.

The client sees what is missing. You stop reminding them.

What you can do

  • Progress always in view

“Overall progress”, “Deadline:” and the step number tell the client how much is left. Every uploaded file stays saved: they can close the page and pick up later from the same link.

  • Forms filled in online

A PDF with fillable fields is completed in the browser and saved with one click. Word and Excel open in the online editor with the “Online document fill-in” extension. And anyone who prefers a pen downloads the template, fills it in and uploads it again.

  • Signing without leaving the page

The signature step takes the document to kSign with “Sign document”. As soon as it is signed, the page refreshes on its own and the signed PDF is already in the collection.

  • Questions right on the step

“Ask a question about this step”: the doubt reaches your team already tied to the right document, and the answer comes back on the page. In “Notes from the team” there is room for instructions such as “we need this year’s registration extract”.

  • Whole folders and repeatable entries

Where you have allowed it, the client selects a folder on their computer and it arrives whole, subfolders included. In repeatable entries they use “Add upload” for each employee, property or contract.

  • Tidy corrections

Until a file has been validated, the client can replace it; if it is rejected, they see the reason and upload it again. A validated document, on the other hand, is locked: to change an answer that affects it, the client sends a change request and your team decides.

  • Your brand, not ours

Your company’s logo and colours accompany the client from the first screen to the last. They recognise who is writing to them, and feel confident uploading.

Frequently asked questions

Does the client have to install anything?

No. A browser is all it takes, on a computer or a phone: the page adapts to the screen, and from a phone they can also upload photos taken on the spot.

How large can a file be?

Files up to the limit your company sets, at most 200 MB: well beyond the limit of an email attachment. For many documents at once there is multiple upload and, where you allow it, the whole folder.

What happens after the deadline?

The deadline triggers the reminders and shows you who is late; it does not close the page: the client can still upload. You decide when to pause or close the collection.

Can the client correct a file already sent?

Yes, as long as it has not been validated: they upload the new file in place of the old one, and your team can still consult the previous version. If the document has already been validated it is locked, and changing it needs the team’s go-ahead.
