Employee training record template in Excel: free to download

A ready-to-use record: one row per course, with employee, provider, hours, certificate and expiry date. Status is calculated for you and the summary adds up each person’s hours. In Excel to fill in or PDF to print, free and with no sign-up.

What the record contains

The Record sheet has one row per course, with format and certificate chosen from a list. Enter the expiry date and the status turns into Valid, Expiring or Expired by itself: you decide how many days’ notice you want. In the Summary, enter the year, the names and the planned hours: hours done come from the record and you see at once how many are missing. The PDF is the blank version, to print and fill in by hand.

How it works

  1. Set the warning period

In the yellow cell, enter how many days before expiry you want to see “Expiring”.

  2. Record each course

Overwrite the example row with the employee, course, provider, date, hours and expiry date.

  3. Check the summary

In the Summary sheet, enter the year, the names and the planned hours: hours done and hours missing are calculated for you.

Every course, in one record.

What you can do

  • Automatic status

Valid, Expiring or Expired, with colours that show at a glance what needs renewing.

  • Hours per person

The summary adds up each employee’s hours for the year and shows how many are missing.

  • Ready-made lists

Format and certificate are chosen from a list, so your data stays consistent.

When the spreadsheet is no longer enough

An Excel record works as long as employees and courses are few. When you find yourself chasing certificates, rechecking expiry dates and redoing the sums by hand, Formatika keeps courses and certificates in one place, shows who is behind and sends the reminders.

Frequently asked questions

Is the template really free?

Yes. You download it without signing up or leaving your email, and you can use and edit it however you like in your company.

How is a course’s status calculated?

From the expiry date you enter: if it has passed, the course is Expired; if less than the warning period remains, it is Expiring; otherwise it is Valid. If you enter no expiry date, the status stays blank.

How many courses can I record?

The template has 40 rows for courses and 25 for the summary. If you need more, copy the rows and check that the formulas include them.
