Recording training
Write a course down once. Then just pick it.
“Anti-money laundering 2025”, “AML update”, “anti-money laundering – webinar”: in the spreadsheet the same course has three names, and the phone number of the provider running it is in somebody’s inbox. In Formatika recurring courses and training providers live in a catalogue. When you record a team member’s training, you type the first few letters, pick the course, and provider, hours and format are already filled in.
A catalogue that builds itself while you work
The Control Centre holds two lists. “Course Catalog” collects courses with their provider, hours, format and a description. “Training Providers” is the address book of the organisations running them: website, email, phone, address and notes. You do not need to fill them in before you start. When you record a course with a name the catalogue does not know, Formatika adds it with the provider, hours and format you entered; a new provider is added the same way. The match ignores upper and lower case, so “anti-money laundering” and “Anti-Money Laundering” stay a single course. Every record carries the course name, date, hours, provider, format and, if you have it, the certificate: renaming a course or removing it from the catalogue does not change the history.
How it works
-
Set up the catalogue, or let it grow
Add the courses that come back every year, with provider, hours and format, and the providers with their contact details. Or start recording straight away: the catalogue fills up with the names you use.
-
Record from the team member’s page
With “Add Training Course” you type the first letters and pick from the suggestions: provider, hours and format come from the catalogue. Course, date and hours are the only required fields; if the plan calls for it, you choose which item the hours count towards.
-
Attach the certificate and find everything
In the “Certificate” column you upload the PDF or the scan, and from there you open or replace it. The “Records” page lists every record of the year, searchable by course or by team member.
A course is written down only once.
What you can do
-
A catalogue of recurring courses
Name, description, provider, hours and format: written once, suggested every time you start typing the course name.
-
The training provider address book
Website, email, phone, address and notes for every provider in one place, instead of scattered across email signatures and business cards.
-
It fills itself, without duplicates
A course or provider never seen before enters the catalogue with its first record. Names are compared regardless of case, so the same course does not show up twice.
-
Classroom, webinar, e-learning, blended
Every course states how it was delivered, and the format shows up again in the hours report: you see how much training comes from the classroom and how much from a screen.
-
The certificate on its record
PDF, PNG or JPEG up to 20 MB, uploaded on the course row. It opens with one click, can be replaced when the right version arrives, and can be removed without losing the course.
-
Every record in one list
Team member, course, provider, date, hours, format and year for every record in the selected year. Search for a course and see straight away who has already taken it.
Frequently asked questions
Do I need to fill in the catalogue before I start?
No. You can add recurring courses in advance, but you do not have to: every course and provider recorded for the first time is added to the catalogue with the details you entered, and from the next time on it is suggested to you.
If I remove a course from the catalogue, what happens to past records?
Nothing. The course is archived and no longer appears among the suggestions, but every record keeps its name, date, hours, provider, format and certificate. The same applies to training providers.
Can I bring past years’ training into Formatika?
Yes, with the CSV import on the Collaborators page. Each row links to the team member through their tax code and carries date, hours, course, provider, format and the training year it belongs to. Records added by hand, on the other hand, go into the current training year.
