Staying compliant

Your training figures, ready before anyone asks.

How many hours did we do this year, how many people are compliant, in which format: management, the auditor or the principal always ask at short notice. With spreadsheets that means an afternoon of cross-checking columns. In Formatika the Report page already has the year’s figures, the full Excel file downloads in one click, and anything missing you ask the AI, writing the question just as it comes.

A register you can hand over, a question you write as it comes

The “Report” page looks at the current training year: total hours delivered, collaborators trained, unique courses, compliance rate. Below, how many are on track and how many behind, hours by mode (classroom, webinar, e-learning, blended) and the month-by-month trend. “Export to Excel” downloads a file with three sheets: the year’s summary, the collaborators with hours done, hours required, status and planned hours, and the course register with date, subject area, module, hours, mode and provider. For anything not in these tables there is “Query the data with AI”: write “Who has fewer than 15 hours this year?” and you get a table, with the query that produced it available to anyone who wants to check it.

How it works

  1. Look at the year at a glance

Open “Report”: four figures at the top, then compliance, hours by mode and hours logged month by month. You see at once whether the year is on course or something has stalled.

  2. Export the register

“Export to Excel” and the file is ready: summary, collaborators and course register on three sheets, with headers already formatted. Attach it to your reply and you are done.

  3. Ask the question that is missing

In the AI box, write as you would to a colleague: “Hours by subject area”, “Who has not attended any classroom course”. Press “Ask” and the answer comes back as a table.

A question in words, a table in reply.

What you can do

  • Three sheets, one file

A summary with hours, courses and compliance rate; a sheet per collaborator with type, hours done and required, status and plan items; the register of every course with subject area, module, mode and training provider.

  • Modes and months at a glance

How many hours in the classroom and how many online, and in which months training took place: useful for planning next year and for seeing whether everything piles up in the last few weeks.

  • The AI gets the question, not the data

The model receives only the structure of the tables and your question, and returns a query. Collaborators’ names, emails and hours do not leave: the query runs on Formatika’s database and only you see the result.

  • Read-only, checked three times

The query is accepted only if it does nothing but read, and only if it concerns your company. It then runs with database access that sees only Formatika’s tables and cannot write, for at most five seconds and 500 rows.

  • You can read the query

Below the table, “Generated SQL query” shows exactly what was asked of the database. Anyone who can read it checks that the answer is the right one before passing it on.

  • With your company’s AI and key

The question uses the Anthropic model your company chose in Kamzan Account, under Artificial Intelligence, with its own key. Kamzan does not use its own: without configuration the box tells you where to set it up, and the rest of the report works anyway.

Frequently asked questions

Does the AI see my collaborators’ data?

No. It receives the description of the tables, that is which columns exist, and the question you wrote. It writes a query, Formatika checks it and runs it on its own database, and the result comes back to you without going through the AI again.

Which AI does it use, and who pays for the questions?

An Anthropic model, chosen by your company in the AI settings of Kamzan Account together with its own key: usage goes on your contract, not ours. Until the key is there, AI questions stay off; the dashboard, report and export do not.

Who can export and who can ask the AI?

Anyone using Formatika can download the Excel file, and those who follow only some collaborators find only theirs in it. AI questions are reserved for the Administrator and Training manager profiles.
