Mandatory staff training, always under control

Formatika counts every employee’s mandatory hours, collects the certificates and shows at a glance who is compliant and who is behind.

Mandatory training is a nightmare of spreadsheets and scattered certificates

Hours to track per role, courses to record, certificates that arrive by email and end up in different folders. And when the inspection comes, the proof is nowhere to be found.

Without Formatika

  • Separate, never-aligned spreadsheets to count the hours
  • Certificates scattered across email, folders and drawers
  • At audit time, proving compliance is a race against the clock

With Formatika

  • One register with required and completed hours for each person
  • Every certificate linked to the person and the course
  • Proof of compliance always ready for inspection

From mandatory hours to proof of compliance, in one register

Every role has its mandatory training hours; every employee builds them up course after course. Formatika keeps it all together: you log the training activities, attach the certificates, and a dashboard calculates in real time who is compliant and who is falling behind. When an audit comes, the proof is already there — year by year.

Formatika certifies, klearning delivers Formatika records and documents training for compliance; the actual courses are taken in klearning. Two distinct roles, one ecosystem.

Who’s compliant and who’s behind, at a glance

The compliance dashboard compares each person’s required hours with the ones completed and shows the status right away: compliant, behind, critical. No more counting by hand.

Automatic pro-rata calculation Expected hours grow with the calendar: in June nobody shows as behind for December’s hours.

Every course recorded, every certificate in its place

Record completed courses with hours, dates and training provider, and link the certificate straight to the record. Anyone who hasn’t handed theirs in lands in pending certificates.

Pending certificates under control See at once who still has to complete or hand in, with email reminders.

Everyone sees their own position, without an account

With a personal link, each person checks their own hours and completed courses, downloads their certificates and uploads new ones — with no account and no burden on administration.

Zero admin overhead No passwords or invites: each person opens their own link and sees only their training position.

Everything you need for mandatory training

  • Collaborators and types

Each type carries its mandatory annual hours, each collaborator has an up-to-date count: hours done, percentage and a four-level status. CSV import, and a scope for each manager.

  • Training plans

For each collaborator, how many hours in which area or module. The insurance sector comes ready, chartered accountants are added from the catalogue, templates fill in a plan in one click.

  • Courses and training providers

Every course written down once: provider, hours and format fill in from the catalogue, new names are added on their own, and the certificate stays attached to the record.

  • Personal page and certificates

Every team member gets a personal link, no account needed: they see their courses year by year, download their certificates and upload new ones. You get notified and assign them with the file open alongside.

  • Compliance and reminders

Formatika compares the hours completed with those expected by today, shows who is behind on a dashboard and emails any collaborator who falls below the threshold, plus a periodic recap.

  • Reports and AI questions

Hours delivered, compliance rate, hours by mode and month, a three-sheet Excel file to hand over. For anything else, a plain question to the AI: it gets the schema, never the data, and the query is read-only.

Frequently asked questions about Formatika

How is compliance calculated?

Formatika compares the hours completed with the role’s mandatory hours: based on the percentage it assigns a status — compliant, behind or critical.

Can I set different hours for each role?

Yes: you define the annual hours for each employee type. A different allowance for an individual is set today through the CSV import.

How do I collect certificates from employees?

Every employee has a public link to upload their own certificates: you find them among the pending ones and associate them with the training activities.

Where is the data stored?

Formatika data is on servers in Europe, encrypted and GDPR-compliant, integrated with the Kamzan ecosystem.
