Free annual leave planner Excel template: download the yearly version
A ready-to-use staff holiday planner for up to 15 people: one sheet for each month and a summary that counts leave taken and remaining by itself. In Excel, free and no sign-up needed.
What the annual leave planner includes
An annual summary with employees and days entitled, plus twelve tabs, one per month. On the tabs you mark holiday, sick leave and other leave day by day; the summary counts holiday taken, holiday remaining and other absences by itself. Enter the year just once: days and weekends update in every month.
How it works
-
Fill in the summary
Enter the year, then overwrite the example row with names and days entitled: the names appear on their own in every month.
-
Mark absences in the months
On the month tab, enter H for holiday, S for sick leave or L for other leave on the right day.
-
Read the summary
Holiday taken and remaining update on their own: you see at once how much each person has left.
All the year’s leave in a single file.
What you can do
-
The whole year in one file
Twelve tabs linked to a single summary, with no separate file for each month.
-
Overlaps at a glance
Colour-coded absences show right away when too many people are away on the same days.
-
Balance always up to date
The summary subtracts holiday taken from the days entitled by itself.
When the spreadsheet is no longer enough
An annual leave planner in Excel works while only one person maintains it. When requests arrive by email and chat and the file has to be kept in line by hand, Klokka collects the requests, routes them for approval and updates the holiday and leave counts.
Frequently asked questions
Is the template really free?
Yes. You download it without signing up or leaving your email, and you can use and edit it however you like in your company.
How do I use the planner for next year?
Save a copy of the file, change the year in the summary and clear the absences on the month tabs: days and weekends update on their own.
Does the template calculate accrued leave?
No: you enter the days entitled yourself, because they depend on the contract and length of service. The template subtracts the holiday taken and shows what is left.
