Klokka extension Coming soon

What is left, before you ask. Not in December.

Klokka already knows who took holiday and when. This extension adds the count: how much is due in a year, how much has accrued to date, how much is left. Whoever requests an absence sees their balance in the form; managers see the whole team’s on one page.

Holiday is due, and accrues on its own

In Settings → “Holiday and leave” the company enters how much holiday and leave is due in a year, in days or in hours. It is not a matter of form: “26 days” for a part-timer become fewer hours, because their working day is shorter. Anyone with a different contract has their own entitlement, on their profile. The accrued amount is calculated — one twelfth for each completed month —, unused holiday does not expire and the balance carries over to the next year. A holiday or leave request that exceeds what is left in the year does not go through, even when a manager enters it; requests still pending are already deducted.

How it works

  1. Set the entitlement

The company value in Settings, exceptions on the person’s profile: you fill it in only for those with a different contract, not for everyone.

  2. Bring over the opening balance

Coming from another system or from paper, you enter the “Opening balance” once, or the “Balance today”, and the adjustment works itself out. The count starts from there.

  3. Read the team’s balances

On the “Holiday and time off” page, for each person: entitlement, carried over, accrued, used, available now and over the whole year. It exports to CSV or Excel.

A balance that goes below zero without anyone noticing is discovered in December.

What you can do

  • The balance in the request form

“You have 40h left this year”, and before sending: how many hours the request is worth and how many remain afterwards.

  • Days or hours, right for part-timers

An entitlement in days follows each person’s working day. One in hours is the same for everyone: choose it knowing it would give a part-timer more days than they are due.

  • Adjustments with a reason

A signed number — 8 adds, -8 removes — and always a reason: an adjustment without a reason is, six months later, a number nobody can explain.

  • Available now and over the year

Asking in May for holiday in August is normal: the check looks at what will have accrued by December, not only at what is there today.

  • Inside the data export

Balances, entitlements and adjustments are included in the “Export data” archive and in the copy a person requests of their own data.

Frequently asked questions

Can holiday be requested without this extension?

Yes. Holiday, leave and sick days are requested and approved with “Absences and holidays”. Only the count is missing: nobody knows how much is left, and nobody is stopped when they go over.

And if I do not set the entitlement?

Everyone accrues zero, and a holiday request would come out above the balance. The balances page says so: the entitlement is the first thing to enter.

Do sick days count?

No: sick days have no balance. The count covers holiday and leave; hour recovery has its own bank, with the “Extra hours” extension.

Is the year-end balance lost?

No. Unused holiday does not expire: the balance moves to the next year and shows as carried over.
