Free attendance sheet template in Excel: download the monthly version

A ready-to-use attendance sheet for up to 15 employees: daily hours, holiday, sick leave and other leave, with totals that calculate themselves. Excel to fill in or PDF to print, free and no sign-up needed.

What the attendance sheet includes

One row per employee and one column for each day of the month. Enter the month and year and the sheet adds the weekdays, greys out the weekends and sets the right number of days. On the right you get hours worked, hours due, balance and absences split by type. On the Instructions tab you can add your country’s public holidays: they are left out of the hours due. The PDF is the blank version, to print and fill in by hand.

How it works

  1. Set the month and year

Enter the month and year in the yellow cells: days and weekends update on their own.

  2. Add your employees

Overwrite the example row with a name and the contract hours per day, then add the others.

  3. Fill in each day

Enter the hours worked or the absence code: H for holiday, S for sick leave, L for other leave. At month end, duplicate the sheet and change the month.

Your attendance sheet, ready in two minutes.

What you can do

  • Automatic totals

Hours worked, hours due, balance and days of absence calculate themselves, per person and for the whole team.

  • Colour-coded absences

Holiday, sick leave and other leave each have their own colour, so the month reads at a glance.

  • Ready to print

The sheet fits one landscape A4 page; the PDF is already blank if you prefer to fill it in by hand.

When the spreadsheet is no longer enough

A spreadsheet works while there are only a few people. When you are chasing files at month end, fixing formulas and re-keying everything for payroll, Klokka collects hours as people work and prepares the attendance sheet for you, ready in Excel or PDF.

Frequently asked questions

Is the template really free?

Yes. You download it without signing up or leaving your email, and you can use and edit it however you like in your company.

How are the hours due calculated?

They are the working days of the month, Monday to Friday and without the public holidays you enter, minus the days of absence, multiplied by the hours per day. Each absence counts as a full day: for part-day leave, adjust the calculation or note the difference.
