Klokka extension

Who is away, when, and who approved it.

Leave requests start in Klokka and reach whoever handles them; company closures are written once and notify everyone; the country’s public holidays appear in the calendar on their own. This is the extension behind the “Absences” section, and it is on by default.

One request, one written decision

The requester picks the type — Holiday, Leave, Sick, and Hour recovery where the company recognises extra hours —, the dates and, for a single day, the time slot within working hours. Whoever holds the “Absences and holidays management” privilege gets a notification and an email, approves or rejects with a reason, and the requester receives the outcome. An absence entered by a manager, even on behalf of a colleague, is already approved. An approved request can be edited: it goes back to pending, unless a manager changes it — then it stays approved and the person is notified. The company decides whether members enter their own absences, who sees the section and whether colleagues’ approved absences are visible; pending or rejected ones stay private.

How it works

  1. New request

From the “Absences” section, or by clicking a day in the calendar: type, dates, note. For a single day you set the time slot, and Klokka shows how many hours it counts, lunch break excluded.

  2. Approve or reject

The manager opens the request from the notification or the email and chooses “Approve” or “Reject”, with a reason if needed. A request already handled cannot be handled a second time.

  3. Closures and holidays

In Settings → “Holidays” you choose the country and add the local patron saint’s day. Company closures are added from the calendar: one day or a period, optionally recurring every year.

Who was on holiday, and who approved it, is read in Klokka. It is not pieced together from emails.

What you can do

  • Closure notice by email

When saving a closure you notify employees, choosing who. With too short a notice Klokka flags it and asks for confirmation; if the closure is deleted, those notified receive the cancellation.

  • Holidays loaded on their own

Once the country is chosen, public holidays appear in the absence calendar. The patron saint’s day, which changes from town to town, is added with a name and a date.

  • On the company calendar, without details

Where there is a company calendar, approved absences appear as “Name — Away”: name and dates, never the type or the reason. Closures go there as full days. Anyone who should stay off it can be excluded.

  • On your own calendar

Everyone can send their own absences to one of their Kalendo calendars: pending ones appear with “(TBC)” and become final on approval.

  • Cancelled requests stay on record

A withdrawn request does not vanish: it stays under “Cancelled requests”, with the status it had — pending or already approved.

Frequently asked questions

What happens if the extension is turned off?

The “Absences” section disappears, together with requests, closures and the absence and holiday settings. Hours are recorded as before.

Can colleagues see that I am off sick?

Not on the company calendar: only “Away” appears. In the Absences section they see others’ approved absences only if the company has allowed it.

Is the count of remaining holiday included?

No: how much is due and how much is left is tracked by “Holiday and leave count”. Without it, requests still go through and nobody counts them.

Can hour recovery always be requested?

Only where the company banks extra hours as time off, with the “Extra hours” extension. Otherwise the “Hour recovery” type does not appear, and the server rejects it anyway.
