Field jobs, reported on the spot
A job sheet filled in at night, from memory, loses hours and details. With Klokka the technician starts the timer on the phone on arrival, and at the end of the job fills in the fields your company has chosen and takes the photos: the office receives a complete entry, ready to approve and to show the customer.
Klokka for field service
People who work off-site have no desk to fill in a timesheet
Installers, maintenance staff and technicians spend the day going from one customer to the next. Hours get pieced together afterwards, materials are half remembered, and when a customer disputes a job all that is left is the technician’s word. Klokka works in the phone’s browser: a bar at the bottom with the timer in the middle, and an entry that carries customer, project, activity and location.
Each company decides what to ask for: which work locations exist and whether each one needs a GPS position, which fields make up the job notes, who must attach photos and who must have their hours approved. People who work in the office keep using Klokka as before.
What people working at customer sites need
Needs shared by installation and maintenance firms, service centres and companies with field technicians.
-
Log time on site
Start and stop the clock from the phone on arrival and departure, instead of reconstructing the day in the evening.
-
Know where the work was done
The location of each job — at the office, at the customer’s, at a partner’s — and, where needed, the captured position.
-
The same report for everyone
The same fields for every technician — work status, issues, materials, outcome — so notes can be read and compared.
-
Evidence for the customer
Photos of the work, the address and approved hours to show when the customer asks what was done.
From appointment to approval: how a job flows
Example: how a job at a customer’s site becomes documented, approved hours.
-
1 Office → Technician The office books the job in the Kalendo calendar; once the work is done, hours can be logged straight from the event, on project and activity.

2 Technician → Office At the customer’s, the technician starts the timer on the phone for a project and activity; their default location is already filled in and can be changed on the single entry.
Klokka -
3 Technician → Office At the end of the job they complete the entry: job notes, photos taken on site and, if the location requires it, the GPS position.

4 Office → Technician The office approves or sends it back with a reason; only approved hours reach invoicing and exports.

What you record
What stays on record for every job
All on the same entry, so whoever approves finds it in one place.
- Hours of each job, by customer, project and activity
- Work location: at the office, at the customer’s, at a partner’s
- GPS position with address and accuracy, where the location requires it
- Job notes: work status, issues, materials, outcome
- Photos taken on site and attached documents
- Approval outcome, with the reason for any rejection
Less reconstruction for technicians, fewer disputes for the company
The work is described once, while it is being done.
For the company
- Entries arrive complete: hours, location, notes and photos.
- Report fields you decide, and each project asks only for the ones it needs.
- Hours awaiting approval stay out of invoicing and exports.
- GPS only where it makes sense: switched on location by location, optional or mandatory.
- The client statement shows billable hours and amounts, never internal costs or margin.
For the technician
- The timer on the phone, with a button in the middle of the bottom bar.
- The default location already filled in, even a different one for each weekday.
- Photos are taken straight from the entry, without going through the gallery.
- If an entry is rejected the reason is written down: fix it and it goes back in the queue.
Inside Klokka
The features for reporting field work
Already in the product: switched on in the settings and tuned person by person.
-
Work locations
The company defines its locations — office, customer site, partner site — and each person’s default location, even day by day.
-
GPS position
For each location: off, optional or mandatory. It is captured once, when the entry is saved, and turned into a readable address.
-
Notes with your own fields
Text, number, drop-down, multiple choice, yes/no. Where notes are mandatory, missing ones stay flagged and a reminder is sent.
-
Photos and attachments
On the phone the photo is taken inside the entry. For those who must document every job, the attachment can be made mandatory.
-
Hour approval
Per entry or for a whole week, chosen person by person. Whoever approves sees notes, photos and attachments before deciding.
-
Job PDF and client statement
Each entry exports to a PDF with notes, address, photos and your logo. With the Client statements extension, the period’s hours reach the customer through a protected link.
