What you can’t read doesn’t exist for you

A page title sometimes says too much already: “Sales department reorganisation” shouldn’t turn up in a search. In kWiki anyone who can’t read a space doesn’t find it anywhere, and what’s finished gets archived without being lost.

Confidentiality isn’t a page saying “access denied”

A “forbidden” message confirms there’s something behind it. In kWiki a private space isn’t in the list, doesn’t come up in search and doesn’t show among the pages linking to another. Anyone trying the direct link gets the same answer as for a page that doesn’t exist. One thing should be said clearly: whoever manages all spaces, by default the Administrator, is Manager everywhere, including private ones.

How it works

  1. You make the space private

With “Only people who are added”, only the people on the list see it, each with their level.

  2. The work ends

A project closes and the space is no longer needed every day. The Manager archives it with a click.

  3. It stays readable

The space moves to “Archived spaces”: it can be read, not edited. If it’s needed again, the Manager reopens it.

Finished doesn’t mean lost.

What you can do

  • Not even the title gets out

The spaces list, search and “Pages that link here” filter what you can read before showing you anything.

  • Whoever administers sees everything, and we say so

The “Manage all spaces” privilege, given by default to the Administrator, makes someone Manager of private spaces too. A space the administrator can’t see doesn’t exist today.

  • A space never goes unmanaged

The last Manager can’t be removed or downgraded: you name another one first.

  • Archived means frozen for everyone

In an archived space nobody writes pages, not even the Manager. They can only reopen it and change its people and name.

  • Pages stay with the company

When someone leaves the company, their pages don’t go with them. Their access to spaces goes, not what they wrote.

  • Images encrypted at rest

Images in pages are stored encrypted, with one key per company, and open only for people who can read the page containing them.

Frequently asked questions

Can the administrator read a private space?

Yes, if they have the “Manage all spaces” privilege, which is theirs by default: they’re Manager everywhere. Keep it with people you trust to run every space.

Are pages end-to-end encrypted?

No. Search and the pages linking here work on the server, and that’s exactly what they’re for: finding things. For what must stay confidential there are spaces.

What happens to a page if its author leaves?

It stays where it is, with its history. It only loses the author’s name, if the account is deleted: pages belong to the company, not to whoever wrote them.

Can an archived space be searched?

Yes: its pages stay in search for people who could already read them. Access rules don’t change: archiving opens nothing to anyone.

Want to see it with your procedures?

We show you kWiki with a test space: how a procedure is written, how it links to files and projects and who can read it. Half an hour, no strings attached.
