The page takes you straight to the file, the project, the person
A procedure that says “the form is somewhere” helps nobody. In kWiki you put the real file, project, contact, ticket or colleague into the text: they’re live boxes, and everyone sees them with the access they already have.
No copies, no new permissions
On Officina Ferrero’s “Supplier onboarding” page there’s the form to sign, kept in Files, the running project in Projekta, the contact in Kontacts and the colleague to turn to. The page stores only the reference: the reader’s own access fetches name and status from the product. If the file is renamed, the page is already up to date. If someone can’t see that ticket, they read “You do not have access to this item”, and the title stays hidden.
How it works
-
Choose what to insert
From the editor, open “Insert an item” and choose among file, folder, person, project, contact and ticket.
-
The box goes into the text
The page keeps a reference, not a copy. From there the item opens in its own product.
-
Everyone sees what they may
When someone reads, the box asks the product for the data with that person’s access. Those who can’t just see they have no access.
The page explains, the product decides who sees.
What you can do
-
Files and folders from Files
The up-to-date form stays where it always was: the page leads to it, not to a copy attached months ago.
-
Vault files stay protected
No name or details on the page: those allowed to see it read “File in the vault: open it from Files”.
-
Projects and tickets
A decision comes from a Projekta project or a kDesk ticket: put it beside the text and the reason can be found again.
-
Contacts and colleagues
The contact from Kontacts and the person to ask in the company, without retyping names that then go stale.
-
Always up to date
The name comes from the product when the page opens, and an archived item says so under its name.
-
No shortcuts on permissions
Putting a file on a page opens it to nobody: the product it comes from always decides, for each person.
Frequently asked questions
If I insert a file, can anyone reading the page open it?
Only if they already can in Files. Others see “You do not have access to this item”, with no name or preview.
What if that product isn’t active for the company?
kWiki works anyway. Without access to the product, that type of item can’t be chosen in the editor.
What happens if a file is renamed or moved?
The page stays correct: it stores the reference, not the name, and the current name comes from Files when someone reads.
What if the product isn’t responding at that moment?
The page text can still be read. The box says “Not available right now” and returns once the product responds.
The other kWiki features
Want to see it with your procedures?
We show you kWiki with a test space: how a procedure is written, how it links to files and projects and who can read it. Half an hour, no strings attached.
