Spaces Coming soon

Every department has its space, and you always know who reads it

The accounts team’s procedures aren’t the workshop’s, and payslips aren’t for everyone. In kWiki knowledge lives in separate spaces, and who can read is a choice you make every time, never a setting left lying around.

A wiki open to everyone ends up saying nothing

If everyone sees everything, sensitive things stay out: Studio Morelli’s decisions on pay go back to a personal folder, and the wiki fills up with what nobody needs. With spaces, management has its own while the whole company reads the new-starter procedure. Inside each space you decide who only reads, who writes and who runs it.

How it works

  1. Open the space

A name and a description, for a department or a topic. Whoever creates it becomes its Manager.

  2. Choose who reads

Only people who are added, or the whole company. Nothing is preselected: until you decide, the space isn’t created.

  3. Add the people

You give each one a level: Reader, Author or Manager. The same colleague can write in one space and only read in another.

Who reads is never a default.

What you can do

  • Reader, Author, Manager

The Reader reads. The Author writes pages and sees the bin. The Manager also decides people, settings and archiving.

  • A level for each space

The level doesn’t follow the person across the wiki: it applies where you assign it. No broad permissions given just for convenience.

  • The whole company reads, few write

An open space can be read by anyone in the company who uses kWiki, but only the Authors and Managers you add can write.

  • You can change your mind

A space created as private can open to everyone, and vice versa: the Manager decides when editing the space.

  • You decide who opens spaces

By default the Administrator creates them. If a department head needs to open their own, you give them the “Create spaces” privilege and that’s it.

  • A space doesn’t open the door to the product

Only people who already use kWiki in your company can be added to a space: anyone outside the product can’t get in through an invitation.

Frequently asked questions

How many spaces do we need?

A good start is one per department, plus one read by the whole company for what applies to everyone. If needed, you open more by topic.

Can a Reader suggest a correction?

Not inside kWiki: a Reader only reads, and there are no comments or suggested edits today. To write, they need the Author level in that space.

Can I give access to an outside consultant?

Not in this version: kWiki is internal only, with no guests or public links. It’s read by people in your company who use the product.

Who decides people’s level?

The space’s Manager, from the People window. They can add, remove and change levels, but the last Manager can’t be removed.

Want to see it with your procedures?

We show you kWiki with a test space: how a procedure is written, how it links to files and projects and who can read it. Half an hour, no strings attached.
