Traceability
You know who read what, and when
Sending documents by email means losing sight of them the moment they leave. In kVDR every opening, download and upload is written down: who, which file, when, from which IP address. When the adviser says they never received the financial statements, the answer is already in the log.
A deal can also be read from who opens the documents
Who has already looked at the lease? Did the prospective buyer download the financial statements or stop at the index? With shared folders these questions go unanswered. kVDR keeps a log for every data room, open to whoever manages it, alongside a summary of documents, questions and participants: at a glance you know where things stand.
How it works
-
Every action is recorded
Preview, download, upload, a document’s status change; questions asked, answered and closed; groups, members, permissions and sections. For each, kVDR notes the person, the resource, date and time, IP address — guests included.
-
Read the room’s log
Whoever manages the data room and holds the “Audit log” privilege opens the log from the room: events from the most recent, page by page. In the room list, each card shows the latest activity: what, who and when.
-
Export and keep
With “Export CSV” the log becomes a file to attach to the minutes or pass to your lawyer. Events are kept for the period set in the configuration: from 30 to 3,650 days, one year unless you change it.
Every download leaves a name and a time.
What you can do
-
Who, what, when, from where
Every log line shows the person, the action, the document or item involved, date and time and the IP address it came from.
-
Guests too
External people who came in through the invitation appear in the log with their email, just like colleagues: you know which adviser downloaded what.
-
Room statistics
A panel sums up documents by status — draft, under review, final — questions open, answered and closed, and how many groups and members work in the room.
-
Latest activity in view
In the data room list each card tells you the latest action, who did it and when: you see which deals are moving and which have stalled.
-
CSV export
Date, action, user, email, resource, type and IP address in a file that opens in any spreadsheet.
-
Reserved for managers
The log and statistics open only for people who manage the room and hold the “Audit log” privilege. Guests work in the room but never see the log.
Frequently asked questions
Does the log show how long someone spent on a document?
No. It records every opening and every download, with the time and IP address, but it does not measure reading time. If someone opened a document three times, you find three lines in the log.
How long are events kept?
For the retention period in the configuration: 365 days by default, adjustable from 30 to 3,650. A daily clean-up deletes older events; if you need them beyond that limit, export the CSV when the deal ends.
What happens to the data room when the deal ends?
You close it, and it stays there to consult. Ninety days after closing it moves to “archived” on its own, and it can be reopened if needed. The log does not depend on the room’s status: it follows its own retention period.
