Everything Projekta does, page by page

Every feature has its own page: what it does, how it works, what you can do, the most frequent questions. Deep dives sit under the feature they belong to.

Projekta overview
In a meeting, a project manager points at the project timeline on the big screen, with linked activities and a milestone, while the team follows at the table

Setting up the project

  • Setting up the project

    Projects and templates

A project usually starts as a row in an Excel sheet, and the structure comes later: tasks in an email, hours in another table, deadlines in the head of whoever sold it. In Projekta you open a single panel and write it all there: subprojects, tasks, hours, milestones, people. It is saved when it is ready, all at once.

  • Setting up the project

    Tasks and views

The project manager wants the timeline, the people doing the work want their list, the client asks “where are we?”. It usually ends with three different files, none of them up to date. In Projekta there is one set of tasks and many views: whoever moves a card on the board moves it for everyone.

Planning

  • Planning

    Plan and variance

The plan approved at the start of the job lives in a spreadsheet nobody updates after three weeks, and when someone asks “are we late?” the answer is a hunch. In Projekta the plan is made of the same tasks people work on: move a date and whatever depends on it moves too, freeze the approved plan and from then on every item tells you how many days it has slipped.

  • Planning

    Workload and assignment

The urgent task always lands on the same person, the one who answers straight away, while a colleague with free hours waits. Nobody does it on purpose: you just cannot see who is full. Projekta lays out in a grid how much everyone already has on their plate, suggests who should get the work and explains why, and puts the appointments straight into that person’s calendar.

  • Planning

    Simulations

The client asks “by when?” and the date gets decided by eyeballing the calendar, forgetting the August holidays and the other job that needs the same people. With “Simulate delivery” Projekta places the remaining work on the real calendars and tells you the day it finishes, and how many days before or after the date written on the job.

Keeping it under control

  • Budgets and jobs

    Hour budgets and jobs

The hours you sold are spread across the project’s items. With Klokka active, the hours actually logged appear next to each item, and the people in charge are notified when an item runs out or goes over: while there is still time to decide.

  • Governance and portfolio

    Governance, risks and reports

The health light is calculated from delays, milestones, hours and drift from the plan. Next to it sit the log of risks, issues and decisions and the reports that freeze the day’s numbers: when someone asks “who decided this?”, the answer is already written down.

Working together

  • Working together

    Files, notes and deliveries

A task can require documents to be delivered: whoever closes it uploads the files and marks which ones are the delivery. Around it, the project files in tidy folders and everyone’s notes, in the same place.
