Governance and portfolio
You know how every project is doing without having to ask anyone
The health light is calculated from delays, milestones, hours and drift from the plan. Next to it sit the log of risks, issues and decisions and the reports that freeze the day’s numbers: when someone asks “who decided this?”, the answer is already written down.
A project is green until someone says otherwise
Project status is often an opinion: given out loud by whoever runs the project, at the Monday meeting. Projekta starts from the data — late tasks, missed or approaching milestones, hours used against the estimate, drift from the plan snapshot, open issues — and shows the colour together with the reasons. Anyone who knows something the data does not can correct it, but has to write down why.
How it works
-
The light turns on by itself
Red for a missed milestone, three or more late tasks, hours above 110% of the estimate or a plan that has slipped by more than ten days; amber for weaker signals. Every colour comes with its reasons.
-
Risks, issues and decisions in one log
Each risk has a probability and impact from 1 to 5, a mitigation and a person who owns it, who gets a notification. Decisions carry their reasons and the alternatives that were turned down.
-
A report takes the snapshot
The status report says what went well, what did not and the next steps, and freezes the day’s numbers: read again six months later, it tells you what was known then, not what is known now.
Green is earned with data, not by word of mouth.
What you can do
-
Manual correction, with a reason
The colour can be changed, but a reason is required and the light keeps showing what the data would say. When the reason no longer holds, one click goes back to following the data.
-
The project history
Tasks created and edited, dependencies unblocked by hand, files uploaded, risks opened, health lights corrected, reports and comments: everything goes into the history, with who did it.
-
Comments with @
In comments you mention a project colleague with @: they get a notification in Projekta and an email with the text, and the link takes them straight to the discussion.
-
A dashboard made of panels
Choose which panels to see and in what order: summary, projects to look at, upcoming deadlines, tasks per person, hours logged, upcoming milestones. The layout is yours alone, on the main dashboard and on each project’s.
-
The portfolio at a glance
Every ongoing project as a kanban by status, with the health light and tasks done on each card, or as a Gantt by project or by person. You can filter by status, client, owner and person.
-
Who is working on what
The by-person view shows how many open tasks each person has and on which projects: you see at once who is swamped and who can take on more.
Frequently asked questions
What decides the colour of the health light?
Missed milestones or ones due within seven days with work still open, late tasks, hours logged against the estimate, drift from the plan snapshot and open issues in the log. Hours count only with Klokka active and an estimate on the project.
Why do reports freeze the numbers?
Because project data changes every day. A report written in September has to say what was known in September: health light and reasons, open and late tasks, milestones, hours, open risks and issues stay as they were that day.
Is the dashboard the same for everyone?
No: each person chooses their own panels and their order, and the choice does not affect colleagues’. The “Reset” button takes you back to the starting panels at any time.
