Setting up the project
The same tasks, seen the way each person needs.
The project manager wants the timeline, the people doing the work want their list, the client asks “where are we?”. It usually ends with three different files, none of them up to date. In Projekta there is one set of tasks and many views: whoever moves a card on the board moves it for everyone.
A task says who, when and how much
Every task has a status, priority, start, deadline, estimated hours and the activity hours are logged against in Klokka. It breaks down into subtasks; if the main task only exists to group them, hours are logged on the children. It can have several people: shared, it closes when any of them completes it; individual, each one completes it for themselves and the task is closed when everyone has. The card saves itself while you type.
How it works
-
Write the task where you are
From the list with “Add task…”, from the board in the right column, from the calendar on the day. You add subtasks straight away, while creating the task.
-
Pick the view
List, board, calendar or timeline. Filter by status, person, priority or activity, sort, group, hide the columns you do not need and keep it all as a view.
-
Work on it together
In the task card the discussion gathers the updates: type @ and the name, and that person gets a notification. The history records who changed what, and when.
One task, many views, no spreadsheet to reconcile.
What you can do
-
Personal and project views
Your views are seen only by you. Project views are created by whoever manages projects, who can lock them so everyone looks at the same thing; anyone who wants to change one duplicates it into their own.
-
Board by status
Three columns: open, in progress, completed. Drag the card and the status changes for everyone, with overdue deadlines marked in red.
-
Your company’s fields
Budget, end client, channel: the administrator creates the fields you need — text, choice, date, number, person, link — and each project switches on the ones it uses. Switching one off does not delete the values.
-
Calendar and timeline
The calendar shows, by month or by week, the tasks that have a start or a deadline; the timeline draws them as bars and tells you how many undated tasks are left out.
-
A history that does not forget
Every change has a name and a time, including the automatic ones: the task moved to “in progress” because someone logged an hour in Klokka, or shifted by the Plan because of a dependency.
-
Assignees outside Projekta too
People who only have Klokka can be given a task: they find it where they already work and log hours on it. Notes and mentions stay with the project team.
Frequently asked questions
Who can edit a task?
Whoever has the privilege to manage tasks can change every field. Everyone else sees the card read-only, but can still write in the discussion.
If I change a project view, does it change for everyone?
Yes, which is why project views can only be edited by whoever manages projects. Personal views are yours: you change, rename or delete them without touching anyone else’s. Deleting a view never touches the tasks.
Can I attach files to a task?
Yes, with versions: you upload the new one over the previous one and can restore older ones. If the project is linked to a Files folder, every task has its own subfolder there, with Files permissions.
