Enrolment
From a list of names to a full classroom, without writing an email
The client sends you the list of employees to train: you import it, kLearning creates the accounts and sends invitations, lesson links and reminders. You see who has been invited and who hasn’t.
“I didn’t get anything”
Ferrari Design enrols twelve people in “Excel for the office”. On the day of the first lesson two can’t find the link and one wrote down the wrong date. With kLearning everyone gets the session invitation with their personal link and the file to add to their calendar, then a reminder the day before and one an hour before. Next to each name you see whether the invitation went out.
How it works
-
Add the participants
Pick people who already attended courses for that client, drag in a CSV or type first name, last name and email by hand. For each one you set whether they’re a participant or a co-trainer.
-
Everyone gets their access
Whoever is enrolled gets a Kamzan account for the student area, with the email to activate it. Co-trainers instead join as trainers, with the tools to run the course.
-
Invitations and reminders go out
One click sends the course invitation, another the live-session invitation with link and calendar file. After that, reminders go out by themselves the day before and an hour before every online lesson.
No one is left without the link.
What you can do
-
An archive of past participants
Every enrolled person stays in the training contacts archive. For the next course for the same client you search by name or email and add them, several at once if you like, without retyping.
-
Import the client’s list
Drag in the CSV and match its columns to first name, last name, email and role, whatever their order in the file. Emails already present are skipped and you’re told how many.
-
Access created automatically
The student doesn’t have to sign up anywhere: the account is created with the enrolment and they receive the email to activate it. If for some reason the access can’t be created, the course enrolment remains valid all the same.
-
Course invitation
“Send course invitations” writes to everyone not yet invited: title, number of sessions, hours and dates of the course, with your company’s logo and colours. Next to each name the status changes from “Pending” to “Sent”.
-
Personal link and calendar file
The invitation to each online session contains the personal link to enter the classroom and an attached .ics file, which opens in Outlook, Google Calendar or the phone’s calendar to save the lesson.
-
Automatic and manual reminders
Anyone invited gets a reminder 24 hours and one an hour before every live session, without you doing anything. If an extra nudge is needed, “Send reminder” sends it immediately, and the count stays next to the name.
Frequently asked questions
What language are the participants’ emails in?
In the language the recipient chose for Kamzan; if they haven’t chosen one, in Italian. The course title and description stay as you wrote them.
What if I add a participant after the course has started?
You add them like the others and they get their access. Invitations only go to people who haven’t received them yet, so those already enrolled don’t get duplicates.
Does the invitation go into the participant’s calendar by itself?
It arrives as an .ics file attached to the email: with one click the participant adds it to their calendar. Many mail programs already show it as an invitation to accept.
Can I enrol a whole department in one go?
Yes, with the list as a CSV: you import it and everyone is enrolled together. There’s no automatic enrolment by department or role starting from the organisation chart, though.
