Finding customers

One company, one record.

The customer spreadsheet with “Rossi S.r.l.” three rows above “Rossi SRL”, VAT numbers copied by hand with one wrong digit, the same person saved by two colleagues in two different ways. In Kore CRM the company name is filled in from the VAT number, “Create” warns you if the record already exists, and the duplicates that slip through anyway are found and merged.

The same records as the whole of Kamzan

Companies and contacts in Kore CRM are the same ones the other Kamzan apps use, from Klokka for hours onwards: there is no second address book to keep in sync. That is why the actions are careful. Archiving a company removes it from Kore’s lists and leaves it active elsewhere; deleting it is possible only if no product has data that refers to it, and the window tells you which. The company record gathers its contacts, opportunities with their value, logged activities, details and classification: owner, source, tags. The type, Lead, Prospect, Customer or Former customer, is your choice and becomes a filter at the top of the list; the contacts list also has “No company”, to fix anyone left unlinked.

How it works

  1. Start from the VAT number

Type the VAT number and press “Fill from VAT number”: company name, address, city, province and country come from VIES, the European Union’s free service, and fill only the empty fields. If VIES does not answer, you save anyway.

  2. Kore checks on “Create”

Before creating, Kore looks for companies with the same VAT number, the same email or the same name, and contacts with the same email or the same name in the same company. If it finds any, you choose between “Open record” and “Create anyway”.

  3. Classify and link

Give each record a type, owner, source and tags, and link contacts to their company. Sources and tags are a single list, defined in the settings by whoever administers Kore.

One VAT number, one company, one record.

What you can do

  • The duplicates you already have

From the list menu, “Duplicates” shows the suspect pairs with the reason: same VAT number, same email, same name without legal form. A dot on the menu tells you when there are some. “Not duplicates” removes the pair, and it does not come back on its own.

  • Merging field by field

In “Compare and merge” you choose which record stays and, for each field, which value to keep. Before you confirm, Kore counts what moves, product by product: everything that referred to the record that goes passes to the one that stays, across all apps.

  • From the old spreadsheet in one step

“Import” reads a CSV separated by semicolons or commas. Companies are recognised by VAT number or name, contacts by email: whoever is already there gets updated instead of doubled. At the end, how many were created, updated and skipped, with the rows to fix.

  • An export Excel opens

“Export” downloads companies or contacts as a CSV that Excel opens without asking. It also works as a template: the file already has the right headers for the next import.

  • Find anyone from one box

The search at the top, also with Ctrl or Cmd+K, finds companies by name, email or VAT number and contacts by first name, last name or email, together with opportunities and leads.

  • Archive without losing anything

A company you no longer follow can be archived: it disappears from Kore’s lists and dropdowns, stays where it is in the other apps, and “Show archived” brings it back into view. Archived contacts are found the same way.

In depth

  • Custom fields

Every company has its own data: the customer’s supplier code, the number of sites, the contact source, the maintenance contract expiry date. If the CRM has no place for them they end up in the notes, where nobody finds them, or in a spreadsheet nobody updates. With Custom fields you define them, and they appear on the record next to everything else.

Frequently asked questions

I already have my customers in an Excel file: how do I bring them into Kore?

Save it as CSV and use “Import” from the Companies list, then from the Contacts list. If you do not know which columns to use, run an “Export” first: the file has the right headers. Contacts attach to their company by name; those whose company Kore cannot find come in without one, and the summary tells you.

If I archive a company in Kore, does it disappear from the other apps too?

No. Archiving applies only to Kore: in Klokka, for example, the company stays active and hours are logged as before. The only action that applies everywhere is deleting it, and that is possible only if no product has linked data.

Who can merge two records?

Only whoever administers Kore. A merge does not touch Kore alone: it moves hours, folders, contracts and projects from the other apps onto the record that stays, and it cannot be undone. That is why the confirmation asks you to tick that you understand.
