Writing and approving

The images next to the copy that uses them.

The right logo in a chat, the final photo in an email from the client, the designer’s comment on another channel, and the good version of the copy that nobody can identify any more. In kSocial files, conversation and history sit in the project and on the post: whoever opens the card finds what they need to get it out.

A library with three shelves

In the project’s Media, the Library has three shelves. “Project” holds that client’s images and files; “Company” holds what applies to every project, such as stock photos, patterns and templates, curated by whoever manages the projects; “Brand” shows the logos and materials of the brand kit. Every file has its tags and is searched by name. Next to it is everything that was attached to posts, filterable by type, channel and month, with a link to the post that uses it. Documents, briefs, contracts, analyses, live in the same place: the project’s documents marked “Visible to client” appear to the Guest, read-only.

How it works

  1. Upload once

Drag images, MP4, MOV or WebM videos, PDFs and documents up to 50 MB into the Library. With Files active, “From Files” picks a file from there and puts a copy in the library.

  2. Attach it to the post

From the post card you choose “From the library” or upload a new file. In a post on several channels the attachment can apply to the whole group, and kSocial warns you if a channel does not accept that format.

  3. Talk about it there

In the post’s Conversation type @ and a colleague’s name: they get a notification and an email with the comment. In a group you choose whether the comment goes to all channels or just one.

The right file is the one attached to the post.

What you can do

  • One person editing at a time

When a colleague is working on a post, the others see their name: they can read, comment and change the status, and editing frees up when that person closes it. If needed it can be unlocked, knowing that whoever was writing loses what they had not saved.

  • Every version of the copy stays

History has two tabs. Activity says who created, edited, moved, attached or changed status; Versions shows the copy as it was. “Restore this version” brings it back, and the current one becomes a version in turn.

  • The note the client does not see

Every post has an Internal note for whoever works on it: the Guest does not see it, it does not end up in the published post and it does not go into the AI.

  • To-dos that are not posts

The project’s things to do, assigned to a person and linked to a post if needed. With a date and a person they appear in that person’s Klokka Agenda, if they use Klokka.

  • Storage under control

A bar shows how much space the whole company’s attachments use against the quota. A file that started inside a post can be copied to the project library, to reuse it without hunting for it.

  • Notes and images for the website

With Notika active and the “Project notes” extension, each project has its own notes, shared with the internal people. With the “Images for the web” extension, library images come out ready for the website, with alt text and variants.

In depth

  • Project notes

The kick-off meeting, the request that came in by phone, the “remember we close in December”: they end up in a notebook, in a chat or in the head of whoever was there. With Project notes every kSocial project has its own “Notes” section, written with the Notika editor and shared automatically with the internal people working on it.

  • Images for the web

For every photo on the website someone should rename it, write the alt text in three languages, convert it, resize it for phones and strip the GPS from the metadata. Usually nobody does, and the site is heavy and hard to find. Images for the web does it from the kSocial Library: it looks at the image, proposes name, alt text and metadata, produces the variants and delivers the package.

Frequently asked questions

Does the client see the library?

No. Media, library and to-dos are internal work. The Guest only sees the project documents that someone has marked “Visible to client”, in their own “Documents” section, read-only. If you untick it later, they no longer see them.

Do I need Files to have the library?

No: images, videos and documents are uploaded straight into kSocial. If the company also has Files, the “From Files” button takes a file from there and puts a copy in the project or company library.

What happens if two people open the same post?

The first one to edit it keeps it: the other sees their name, can read, comment and change the status, and writes when the first one closes. Saving is automatic, and every change to the copy stays in Versions.
