Transactions Coming soon

The bank file comes in, the manual work stays out

Copying transactions into a spreadsheet and classifying them line by line eats hours every month. In KashPlan you upload the file, see what will happen before confirming, and rules you wrote once keep working.

You can upload the same file again: duplicates stay out

At Officina Ferrero the month’s file is uploaded every week, longer each time. KashPlan recognises rows already there and takes only the new ones; anything unclear, like a pending charge with a different amount, goes to the transactions to review. You look only at doubtful cases, and the rest is already in place.

How it works

  1. You upload the file

CSV or Excel: the type is recognised from the columns. You pick the account, or put the file in the linked Files folder and it imports itself.

  2. You check the preview

Before confirming you see how many are new, already there, to review and posted, and which rows are skipped and why.

  3. You decide only the doubts

Rules, categories and recognised customers do the bulk. You’re left with uncertain transactions: match them, discard them as duplicates or fix category and item.

A rule written once applies to every file to come.

What you can do

  • No duplicates

Upload the file whenever you like: rows already there stay out, and a row you discarded doesn’t come back asking what to do.

  • Rules that classify

If the description contains a text, the category or item is the one you chose. If two rules apply, the longest text wins.

  • Corrections stay

A transaction whose category or item you changed by hand stays that way. A new rule can apply to old ones, but doesn’t touch what you corrected.

  • Categories and items in order

Bank categories appear by themselves at the first import. Above them are the chart items, to see what comes in and goes out month by month.

  • Recognised customers

Keywords, VAT number or name in the description link the transaction to the right company, and a payment can settle one or more invoices.

  • The folder that imports by itself

With Files you link a folder to an account: every file put there, from Desktop too, imports under the same rules. The file stays in Files.

Frequently asked questions

Do I need to connect KashPlan to the bank?

No, and it isn’t available today: transactions come from files you download, or those placed in the Files folder. No bank credentials pass through KashPlan.

Which files does it recognise?

Today, account and card files from Banca Sella and PayPal files, in CSV or Excel (.xlsx, .xls). For another bank, transactions can be entered by hand: ask us in the demo what yours needs.

What if a file from the folder has a problem?

It’s flagged with the reason and a notice appears in transactions. Doubtful cases go to review, just as when you upload by hand.

Can I add a transaction by hand?

Yes, for cash for example. If the same transaction then arrives in the bank file, KashPlan matches it to the handwritten one instead of counting it twice.

Want to see it with your numbers?

We show you KashPlan starting from a sample bank statement: how to read balances, debts and receivables and how the forecast is built. Half an hour, no strings attached.
