Reminders and due dates Coming soon
The money you’re owed, without chasing it by hand
An overdue invoice rarely collects itself, and writing to clients is the job everyone puts off. KashPlan does the reminding for you, to the right person, and keeps everything due in one calendar: your invoices, F24, salaries and instalments.
The reminder that isn’t sent is a payment that slips
At Studio Morelli whoever runs admin always has something more urgent than writing to a client about a 30-day-old invoice. With automatic reminders the notice goes out before the due date, on the day and then at fixed intervals, with the PDF attached if there is one. It goes to the billing contact, not the company’s generic mailbox. When a client has an arrangement in progress, you stop reminders for that invoice or for the whole client.
How it works
-
You set the billing contact
In the client record you mark who receives reminders, with their email. It’s the same contact you see in Kore. Clients with no billing contact are flagged.
-
You turn reminders on
They’re an extension: once active, you turn them on in settings and adjust the text for each moment. Starting today doesn’t send reminders on months-old invoices.
-
You see what went out
For each open invoice you see reminders sent, the latest and the status. When payment arrives and the invoice closes, reminders stop.
KashPlan sends the reminder. The decision to stop it stays yours.
What you can do
-
Seven moments, not one
7 days and 1 day before the due date, on the day, then 7, 14, 21 and 31 days after. A missed run catches up, without sending the same reminder twice.
-
To the right person
Only to billing contacts, never to the company’s generic email. With no contact nothing goes out: KashPlan tells you which clients still need one.
-
In your own words
Each moment has its text, with number, date, amount and due date filled in. The tone of the first reminder can differ from the last.
-
One calendar for every due date
F24, withholding, salaries, invoices to issue and pay, instalments, fixed costs, cards and renewals, by month, week or list. Salaries are summed by day, without names.
-
Alerts ahead of the day
By default, renewals 60 and 30 days ahead, F24 and invoices 3 days ahead, in the bell and by one email per person. You change the days, and zero switches the alert off.
-
Stop when needed
A dispute or an agreement on timing? Stop reminders for an invoice or a whole client, and resume whenever you like. No awkward emails to a client you’re already talking to.
Frequently asked questions
Are automatic reminders included?
They’re a KashPlan extension, off by default. Even once it’s active, they only go out if you turn them on in settings.
If I turn it on today, will it chase all old invoices?
No. Each moment holds until the next one, and the last for 7 days: invoices months overdue don’t get a burst of emails.
When do the emails go out?
Between 8 am and 8 pm Italian time: no reminders in the middle of the night.
Does the calendar show expected receipts too?
No: the calendar shows what you have to do or pay. Expected receipts are in the forecast and on the reminders page.
