People and costs Coming soon

No more receipts in an envelope at month end

Whoever pays for something photographs the receipt and sends it from the phone, with no account. You approve, choose the refund day and that debt enters your cash plan. Beside it, staff costs month by month.

People’s expenses are company debts, even when you can’t see them

Back from a trip with three receipts, Paola opens the portal with a work email and a 6-digit code and uploads the photos and the reason. At Studio Morelli the approver sees it all in a list, picks the refund day, and from then on the amount is a debt in the forecast. When the transfer goes out, it’s linked to the claim. Salaries follow the same idea: yearly cost and monthly payments become forecast outflows, with the rest in F24 on the 16th of the next month.

How it works

  1. The person uploads the receipt

From the portal link: work email, 6-digit code, photo or PDF, amount, date, type and reason. No Kamzan account is needed.

  2. The approver decides

With the receipt beside the data, they approve and choose the refund day, or reject with a reason the person reads by email and in the portal.

  3. The refund enters your cash

Once approved, the claim is a debt to the person and a forecast outflow on that day. Then you mark it refunded and, if there is one, link the bank transfer.

A receipt in a pocket is a debt you can’t see.

What you can do

  • A portal with no account

The Administrator decides who gets in, including contractors. Each person sees only their own claims, and anyone deactivated is locked out at once.

  • A list by status

To approve, to refund, refunded, rejected. The total to refund is always in view, and approvers are notified of every new claim.

  • One transfer, several claims

If you refund everything together, one transfer closes several claims, never beyond its amount. KashPlan proposes exact-amount transfers first.

  • Receipts in Files and recharges

With a linked folder, approval puts the receipt in Files, in the person’s subfolder. You can flag the expense to recharge to a customer: it’s a reminder, not an invoice.

  • Staff in the forecast

For each employee: yearly cost, 12, 13 or 14 monthly payments and pay day. KashPlan derives the month’s outflows and the F24 part on the 16th of the next month.

  • Salaries stay private

Only people with the privilege, by default the Administrator, see the detail by person. In the forecast others read the total, with no names.

Frequently asked questions

Do I need a Kamzan account to upload a claim?

No. You just need to be on the list set by the Administrator: you enter with your work email and a 6-digit code valid for 10 minutes.

Does KashPlan do payslips?

No. It tells you how much leaves and when: the cost comes from your payroll consultant, and the real salary comes from the bank.

Does a recharge create a customer invoice?

No. It’s just a flag on the claim, with the customer linked by the approver: the invoice is still done separately.

Who sees people’s salaries?

By default only the Administrator. The privilege can be given to others, and it’s off by default for Manager. Anyone without it sees totals only.
