Keeping order
Every email in its place, and the important ones come back on their own
Folders, labels and filters keep incoming mail in order; snooze and reminders bring back what you can’t afford to forget. When you’re on holiday, the auto-reply takes care of the rest.
“I saw it, then it got buried under the rest”
At Ferrari Design a supplier’s request arrives on Monday at 8, when there’s no time to answer it. In kMail you snooze it until tomorrow morning and it reappears at the top; you send the offer to Rossi & Partner and, if nobody replies within seven days, kMail reminds you with a “Nudge” ready to go.
How it works
-
Sort it out
Create folders and subfolders and drag email into them; add a coloured label, a star, or pin to the top the message that must stay in sight.
-
Automate
With “Filters” you build the rule in blocks, condition and action: invoices from the supplier land in their folder before you even open your mail.
-
Let it come back
Snooze an email until later, or ask kMail to alert you if nobody answers one of yours. At the right moment it comes back to the top.
Your mail sorts itself out. You deal with the replies.
What you can do
-
Folders, labels, stars
Folder trees with message counts, drag-and-drop moves, coloured labels that are personal or shared across the company. The star puts an email in “Starred”; pinned messages always stay at the top of the list.
-
Search with quick filters
“Search your mail...” looks in all folders or the current one, in subject, body, sender and recipients. The “With attachment”, “Unread”, “Starred” and “From a date...” chips narrow the result in one click. Replies in a conversation stay grouped.
-
Filters and blocked senders
Filters on mailboxes hosted by Kamzan run on the server, even with your computer off: they check subject, sender, recipients, body, size or date and move, copy, forward, mark as read or reply. A sender or a whole domain is blocked in one click and goes straight to the bin.
-
Snooze and awaiting reply
“Snooze” moves the email out of the way for an hour, three hours, until tomorrow morning, Monday, a week or a date you choose, and you’ll find it in “Snoozed”. After sending you can ask for a reminder at 3, 7 or 14 days: if no reply arrives, the email is in “Awaiting reply” with “Nudge”.
-
Auto-reply tied to holidays
Write the out-of-office message and the dates, or let Klokka do it: when your holidays are approved, the auto-reply switches on at the start and off when you’re back, with text and dates already filled in.
-
From email to calendar and contact
“Create an event in the calendar” prepares the appointment in Kalendo with date and time read from the text and attendees taken from the message’s addresses. The contact panel shows the sender’s Kontacts card and the email you’ve exchanged.
-
Comfortable for everyone
Desktop notifications for new mail, light or dark theme, high-legibility font, increased text spacing, reduced animations, enhanced keyboard focus and underlined links. The interface speaks seven languages.
Frequently asked questions
Do filters also work on external accounts?
Filters run on the server of mailboxes hosted by Kamzan, so they apply to those. For an external account, such as a connected Gmail or PEC mailbox, the rules are the ones set at its provider; in kMail you can still block senders, snooze and label.
How does kMail know I’m waiting for a reply?
After every send, an offer of a reminder at 3, 7 or 14 days appears for a few seconds. On top of that, email asking something of a contact you know is tracked automatically. When the reply arrives, the reminder closes.
Does the auto-reply work without Klokka?
Yes. In Settings › Auto-reply you write the text and choose start and end dates. Klokka is only needed if you want it to switch on and off by itself following approved holidays.
Are labels the same for every colleague?
There are both. Personal labels you create for yourself; company labels, marked “Company”, are the same for everyone, so “Invoices” or “Morelli site” have the same name and colour everywhere.
