AI Triage extension

Open your mail and you already know where to start

Every incoming email gets a category: urgent, needs reply, newsletter, suspicious. The Inbox splits itself between what matters and the rest, and the deadlines written in messages become a list. The AI runs on Kamzan’s local models: your mail isn’t sent to an outside service.

Two hundred emails, three that matter

Monday morning at Rossi & Partner: newsletters, automatic notifications, a fake message from the bank and, somewhere in the middle, the client asking for a quote by Thursday. With AI Triage the client is in “Main” and in the “Do now” box, Thursday’s deadline is among the “Commitments” and the fake bank is shut away in “Suspicious”.

How it works

  1. It arrives, it’s read

Every incoming email, external accounts included, gets a category and a priority score. Calendar invitations, newsletters and automated mail are recognised from their headers, without even calling the model.

  2. It falls into line

The Inbox splits into “Main”, “Other” and “Suspicious”; the “Overview” places email in the Eisenhower matrix; deadlines, meetings and questions go into “Commitments”.

  3. Correct it, and it learns

If a category doesn’t look right, you change it in two clicks. The correction stays as an example: similar email arriving later is classified the way you decided.

What matters first. The rest, when you have time.

What you can do

  • Eight categories, three lanes

Urgent, Meeting, Needs reply, FYI, Newsletter, Promo, Noise and Suspicious. In the Inbox, “Main” holds the mail that matters from senders you know, “Other” gathers promotions, newsletters and strangers, “Suspicious” isolates likely phishing. Email isn’t moved: only the view changes.

  • Overview and Eisenhower matrix

In “Overview” you first find the two lanes “Needs reply” and “To do / Reminders”, then the matrix: Do now, Schedule, Delegate or reply briefly, Delete. Mark “Done” and the email leaves the Overview, staying where it is in your mail. Next to each email is a summary of that single email, one or two sentences on what it asks: you also find it in “Waiting on you” and by hovering over the category badge.

  • Commitments drawn from email

To-dos, deadlines, meetings and questions written in messages become a list split into Overdue, Today, This week, Later and Undated, filterable by type. Every commitment links back to the email it came from and closes in one click.

  • Who’s waiting on you

“Waiting on you” lists received email that asks for a reply and hasn’t had one, oldest first: “You’re keeping 6 people waiting”. Reply from there, or mark “Done” if you already answered from another program.

  • Morning summary

Every morning, at the time you choose, an email arrives with counts by category, the urgent items still open and the suspicious mail intercepted. You can send yourself a test one whenever you like.

  • Rules by category and by sender

For each category you decide whether to keep, move to a folder or bin: promotions, for example, can go to their own folder automatically. With sender rules you say “this client is always urgent” and their mail is classified straight away.

  • Topic badges and statistics

Alongside the category, the AI adds topic badges such as Incoming invoice, Contract, Tender or PEC, and the company can add its own. In “Statistics” you see how much email is sorted without the model, how much you correct and how long classification takes.

Frequently asked questions

Is our mail sent to an outside AI service?

No: AI Triage works with Kamzan’s local models, on the servers of Kamzan’s infrastructure, and the mail stays there. If a company prefers a cloud provider, that’s an explicit choice by its administrators, not a default setting.

Do commitments also go into the calendar or projects?

No, they stay in kMail, on the “Commitments” page, linked to the email they came from. If a message contains an appointment, you can create it yourself in Kalendo with “Create an event in the calendar”.

Who decides who uses AI Triage?

The administrators turn on the extension and choose whether to give it to everyone, to certain user types or to selected people. Each person can then switch it off on their own mailbox: in that case their email doesn’t go through the AI.

Does it also work on PEC and external accounts?

Yes. AI Triage classifies incoming mail on mailboxes on your domain and on connected accounts, PEC included. Categories and lanes are the same everywhere.

What if the AI picks the wrong category?

Correct it from the category badge or the message menu, and “Saved · AI trained” appears. From then on similar email follows your choice. Every classification also shows why, for example “Rule on the sender” or “By similarity with email you already classified”.

Does the AI summarise conversations?

No. AI Triage only writes a summary of the single email: one or two sentences on what that message asks, visible in “Overview”, in “Waiting on you” and on the category badge. A long exchange isn’t condensed into a single summary.
