Attachments
Files travel with your mail and end up in the right place
A quote to attach, a presentation too heavy for email, a contract received that needs filing: kMail works with Files, Kamzan’s document archive, so the right file is picked up and saved without downloading and re-uploading it.
“I’ll send it again, it was too big”
At Studio Morelli the client’s rendering weighs 80 MB and the email bounces. With kMail you drag it into the message, choose “As a link” and the client receives a link to download it for as many months as you decided. The specification the client sends back signed, on the other hand, goes into Files with one click, in the project folder.
How it works
-
Drag the file in
While writing, drop one or more files anywhere on the page. kMail asks how to insert them: as a classic attachment or as a link to download.
-
Or take it from Files
With “From Files” you browse your personal or company space and attach the document without downloading it to your computer. Alternatively, insert the link to the file on Files into the message.
-
Save what you receive
Under every attachment you receive you’ll find “Preview” and “Save to Files”: choose the folder, with your default one already suggested, and the document is where it belongs.
The right file, in the right message, in the right folder.
What you can do
-
Attachment or link, your call
For heavy files choose “As a link”: the file stays on Kamzan’s servers and the recipient downloads it from a link. In Settings you decide how long it stays available, from one month to three years or for ever; when it expires the link stops working.
-
Attach from Files
Your personal and company spaces in Files can be browsed from the writing window, folder by folder. The document goes into the message without passing through your Downloads folder.
-
The vault stays shut
Documents kept in the Files vault show the “in the vault” mark and cannot be attached: they only open in Files, with their code. No copy ends up in the mail by mistake.
-
Preview without downloading
Images and PDFs open in a window inside kMail. Word, Excel, PowerPoint and OpenDocument formats are converted on the fly and read the same way, with no software installed.
-
Save to Files in one click
Every attachment you receive can be saved to your personal or company space, in the folder you choose. You can set a default folder that kMail suggests every time.
-
Automatic attachment archive
With the Files extension “Email Attachment Archive”, incoming attachments save themselves to your personal space, split by mailbox, sender domain or conversation. Choose mailboxes and folders, a minimum size to leave out logos and signatures, and whether to keep all files or documents only.
-
Past mail too
The archive starts from the moment you turn it on, but with “Archive past messages” you recover the attachments already in your mailboxes, from one month back to the whole history. Before starting you see how many messages will be analysed; if space runs out the recovery stops and later resumes without duplicating anything.
Frequently asked questions
Does someone receiving a file “as a link” need Kamzan?
No. The message contains a link with the file’s name and size, and the recipient downloads it with their browser while the link is valid. You choose how long in Settings: from one month to three years, or for ever.
Do I need Files to use attachments in kMail?
Not to attach, send as a link and preview: those work with kMail on its own. You need Files for “From Files” and “Save to Files”, and the Files extension “Email Attachment Archive” for automatic archiving.
Does the automatic archive also save signature images?
You can avoid it. There’s an option to ignore images embedded in the message body, and a minimum size below which an attachment isn’t archived. If you only want documents, choose “Documents only” instead of “All files”.
Can I attach a document that is in the Files vault?
No, and that’s deliberate. Attaching it would create a copy in the mail, outside the vault’s protection. The file appears in the list with the “in the vault” mark and opens only in Files, with its code.
