Administration

The company sets the chat’s rules, not somebody else’s app

In a work WhatsApp group the company decides nothing: not who joins, not how long messages stay, not what happens when someone leaves. In kTalk it does: retention, permissions, limits and export are set from the panel, and apply to everyone.

When someone leaves, the conversations stay

Agreements made with a client, instructions given on site, a project’s decisions: in kTalk they belong to the company, not to the phone of whoever wrote them. The administrator chooses how many days to keep them, can stop the deletion of a conversation when there is a dispute, and with user types decides who can do what. Every export leaves a trace, in the log and in the conversation itself.

How it works

  1. You set the rules once

From the panel you choose how many days to keep messages, how many devices each person can have and how many people a conversation can hold. They apply to the whole company.

  2. You give everyone their permissions

With user types you decide who creates groups and channels, who uploads files or attaches from Files, who starts calls, who records voice messages, who exports and who moderates.

  3. You step in when needed

A conversation to keep for a dispute is put on hold, with the reason written down. One to hand over is exported in full, and members see the note saying who exported it.

The company’s chat stays in the company, even when people change.

What you can do

  • Tailored retention

One period for the whole company and, if needed, a different one for a single conversation. Beyond the window messages and their attachments are really deleted, in end-to-end chats too.

  • Deletion hold

For a dispute or an inspection you put a conversation’s deletion on hold and write down why. Disappearing messages keep disappearing: that is a promise made to participants, and the hold says so.

  • Exports that leave a trace

In server chats whoever administers a conversation and is allowed to export downloads the whole history, from the first message, as JSON or text. The export goes into the audit log and leaves a note in the conversation.

  • User types and permissions

Using the chat, creating groups and channels, uploading files, attaching from Files, starting calls, sending voice messages, exporting, moderating one’s own groups; and for administrators, managing users, user types, settings and retention.

  • Limits against abuse

By default 10 active devices per person and 500 members per conversation. The administrator adjusts them, and the server refuses registrations and invitations beyond the cap.

  • Alerts that don’t get in the way

Push notifications with a text preview, which anyone can turn off on their own device. When someone adds you to a conversation an email arrives, just one: never one per message, never with the content.

  • Installable, in 7 languages, with your brand

kTalk installs as an app on phone and computer, without going through the app stores. It speaks Italian, English, Spanish, German, French, Chinese and Portuguese, and carries your company’s brand.

Frequently asked questions

Can the company administrator read every chat?

No. A conversation’s rules depend on the roles within that conversation: a company administrator who is not in the group neither reads nor exports its messages. If they need to, they get added, and members can see it.

Can end-to-end chats be exported too?

Not in full. Full export from the history applies to server chats, because the server can reopen their messages. In end-to-end chats you can export from your own device only what that device has already decrypted.

Does the deletion hold also stop disappearing messages?

No, and it says so clearly. The timer of disappearing messages is visible to participants and is a promise made to them: the hold stops automatic retention, not that promise.

Do I need to download an app from the stores?

No. kTalk works in the browser and installs as an app on phone and computer directly from the site, with its own icon, notifications and window.
