Import and export
The address book you already have moves into Kontacts in a minute, with no duplicates
You export your contacts from the program you use today as vCard or CSV, drag them into Kontacts and check the preview before confirming. If the address book is already full, you decide: only new ones, replace everything or add everything. And when you need a copy, you download it as .vcf.
Changing address book should not cost an afternoon of copy and paste
A company’s contacts are scattered: the front office’s Excel sheet, the export from the old management system, the phone of whoever deals with suppliers. Kontacts reads them as they are: it recognises CSV columns from their headings, splits first and last names when they are together and keeps vCard entries whole, with every number and email. Before writing anything, it shows you what will come in.
How it works
-
Drag in the file
In “Import contacts” you drag in a .vcf or .csv file, or pick it with “Browse”, and choose the “Destination address book”. Kontacts recognises the format from the extension.
-
Check the preview
You see how many contacts it found, with name, email, phone and company. If first and last names shared a single field in some entries, Kontacts has split them and tells you, so you can check before confirming.
-
Choose what to do with existing contacts
If the address book already holds contacts, you choose: “Add only new ones (recommended)”, “Replace everything” or “Add everything, duplicates included”. Then you import, and the contacts are straight away on the phone of anyone using CardDAV too.
You bring in the address book you have; you don’t retype it.
What you can do
-
vCard and CSV
The two formats almost every program can export: the .vcf from Apple Contacts, Thunderbird or a phone, and the .csv from a spreadsheet or a management system. Up to 10 MB per file.
-
Columns recognised automatically
In a CSV, Kontacts reads the headings, in Italian or English: First name, Last name, Email, Phone, Company, Department, Website, City, Country, Notes and the rest land in the right field without you matching them one by one.
-
Re-run the import without duplicates
“Add only new ones” leaves existing contacts untouched and brings in only the entries that are missing: if you load the same vCard file twice, nothing comes in the second time.
-
Entries stay whole
From a vCard file, Kontacts keeps the original entry: three phone numbers, work and home emails, nickname and notes reach the phone exactly as they were. In the list you see the preferred one.
-
From another CardDAV server
If the old address book lives on a CardDAV server, you need no file: enter the address, username and password, Kontacts lists the address books it finds with their contact counts, and you tick the ones to bring over.
-
Download or empty an address book
“Download address book (.vcf)” gives you a complete copy, to keep or open in another program. “Empty address book” removes every contact but keeps the address book, its shares and colour: handy before reloading an updated list.
Frequently asked questions
Can I import directly from Google or Outlook?
There is no direct connection. From either one you export your contacts to a file (vCard or CSV) and drag it into Kontacts: it is a single step, and from then on the address book lives in Kontacts.
How do I avoid filling the address book with duplicates?
Keep the recommended option, “Add only new ones”: entries already there are skipped and the final count tells you how many. The check happens at import time; contacts already saved are not merged automatically. A CSV, which carries no identifier per row, is always added: for an updated list it is best to “Empty address book” first.
Can I export contacts to Excel?
Export is in vCard (.vcf), the format read by address books, phones and email programs, and it keeps every number and email of each contact. There is no CSV export.
Can anyone import contacts?
The administrator decides, by user type: importing is a permission of its own. And you can only import into address books you can write to, that is your own or those shared with “Read and write”.
