Shared address books

Everyone’s clients, each with the right access

Keep clients, suppliers and personal contacts apart in separate address books, and share only the ones your colleagues need. Those who need to look things up can look, those who need to update can update.

An address book for everything, shared only where needed

When Marco goes on holiday, the clients he handles must not disappear with him. In Kontacts Marco creates the “North clients” address book, gives it a colour and shares it with Sara in read and write and with accounts in read-only. Sara can update a changed number, accounts find the client’s certified email when it is time to invoice, and nobody sees the personal contacts Marco keeps in another address book. If one day access is no longer needed, just “Revoke”.

How it works

  1. You create your address books

The first one, “Contacts”, is already there. You create the others with a name, a description and a colour, and choose which is the “Default”, where new contacts go.

  2. You share with those who need it

From the address book you pick a colleague and the permission: “Read only” to look up, “Read and write” to add and correct. The address book appears for them marked “Shared”.

  3. You change or revoke any time

The permission can be changed at any time, and “Revoke” removes access immediately. The address book stays yours: only you can empty or delete it.

Share the address book, not the house keys.

What you can do

  • Several address books, different colours

Clients, suppliers, consultants, personal contacts: each address book has a name, a description and a colour, and the colour follows you into the contact list, next to each entry.

  • Read only or read and write

Two clear permissions, chosen colleague by colleague. Read-only users look up and copy details; those with write access add contacts and fix existing ones.

  • Revoke in one click

A colleague moves to another team or a project ends: open the address book’s shares, “Revoke”, and from then on they no longer see the contacts.

  • You see at once whose it is

Each address book carries its badge: “Default” for where new contacts go, “Shared” for those others have opened to you, “System” for those created by the other Kamzan apps.

  • Other apps’ address books in their place

“System” address books come from the other Kamzan apps and only people who use that app see them. They cannot be deleted or emptied by mistake: the app that created them keeps them filled.

  • The administrator decides who can do what

Privileges are set for each user type: having several address books, sharing them, connecting a phone via CardDAV, importing contacts, using AI search. The intern looks things up, the sales rep shares.

Frequently asked questions

Is there an address book the whole company sees?

No, and that is deliberate: every address book belongs to someone, and only its owner and the people it is shared with can see it. If a list must serve everyone, whoever looks after it shares it with the colleagues who need it.

Can a read-only user copy a contact into their own address books?

Yes: “Copy to another address book” brings the contact into an address book they can write to. The shared address book stays as it is until someone with write access changes it.

Do shared address books reach the phone too?

Yes: with CardDAV your phone sees the address books you have access to, including those shared with you, with the same permission you have in Kontacts.

Can I share an address book with someone outside the company?

No: sharing is between colleagues who use Kontacts in your company. To give a list to an outsider, download the address book as a vCard file and send it.
