Automatic collection
Whoever you invite, involve or write to: the address book updates while you work
The addresses you use in Kalendo and kMeeting invitations, Files shares and Flow workflows go into a collection address book of your own automatically. The ones you write to from kMail go into “Contacts from email”. Nobody has to copy them by hand.
The most up-to-date address book is the one you don’t have to update
The client’s new contact person types their address into an invitation, the accountant receives a shared folder, the supplier joins a document collection workflow. Each time a new contact passes before your eyes and, if nobody saves it, it is lost. Kontacts saves it for you, in your address book, and next time suggests it as you type.
How it works
-
You work as usual
You invite Rossi & Partner to an event in Kalendo or a meeting in kMeeting, share a Files folder with Studio Morelli, add a client or participant to a Flow workflow. There is nothing to switch on.
-
The contact enters the address book
The address lands in your collection address book, with first name, last name, phone and company when the app knows them. If the contact was already there, Kontacts only fills in empty fields and leaves the ones you wrote untouched.
-
Next time it’s already there
At the next invitation, two letters are enough for autocomplete to suggest it. And if you use CardDAV, the contact is on your phone too.
You save the contact the first time you use it, without noticing.
What you can do
-
From four apps
Kalendo event attendees, kMeeting meeting invitees, recipients of Files shares and gallery PDFs, Flow clients and participants: all in the same collection address book.
-
Everyone has their own
The collection address book is personal: it holds the people you involved, and colleagues don’t see it in their suggestions. If the team needs a contact, you copy it to a shared address book.
-
It doesn’t overwrite what you wrote
If a contact already exists, collection only adds what is missing: the surname, the company, the phone number the client left when a file was shared. A number entered by hand stays as it is.
-
“Contacts from email” for kMail
When you send a message from kMail, recipients who are not yet in any address book go into a separate one, “Contacts from email”. That way mail doesn’t mix with invitations and you can keep an eye on it on its own.
-
Rename it, never lose it
It starts as “{company} address book of {name}”, and you give it whatever name you like. It cannot be deleted by mistake: collection always has somewhere to write.
Frequently asked questions
Can colleagues see the contacts I collect?
No. Each person has their own collection address book, separate for each company they work for in Kamzan, and colleagues’ suggestions don’t read it. There used to be a single address book shared with the whole company: we removed it precisely because it showed everyone’s contacts to everyone. If you want to share yours, you can, just as with any other address book.
Does it fill up with duplicates?
No: the same email address enters the collection address book only once; if it shows up again, Kontacts fills in that contact’s missing details. kMail, for its part, saves to “Contacts from email” only addresses it doesn’t already find in an address book.
Can I turn collection off?
Collection is part of how the apps work: it has no switch. But the address book is yours: remove the contacts you don’t need, rename it, or empty it when you want to start afresh.
Which contact details are saved?
Always the email address, plus what the app already knows: the name written in the invitation, a Flow client’s first name, last name, phone and company, the phone left in a Files share. Nothing else is read or copied.
