Voice notes
When your hands aren’t free, you dictate the note
You leave the building site, the client, a stand-up meeting: you record a voice note inside the right note, play it back when you need it and, if your company has enabled transcription, turn it into text you can correct and find with search.
The voice message sent to yourself gets lost in the chat
A voice message to yourself on a personal app is the most common notepad there is, and the worst: it has no title, it doesn’t sit next to the rest of the work and it ends up on a private phone. In Notika the voice note lives inside the note it belongs to, next to the text and checklists, encrypted with your company’s key and visible only to people who can read that note.
How it works
-
Record or upload
From the note press “Record a voice note”, or start from “New voice note”. Pause, resume, finish with “Done”. If you already have the recording in a file, you upload it: up to 10 minutes.
-
The voice note stays in the note
You play it back whenever you like, download it, find it again in the “Voice notes” section of the sidebar. At rest it is encrypted with your company’s key, and only people who can read the note can hear it.
-
Transcribe, if needed
With the transcription extension enabled, “Transcribe the voice note” appears: the text goes into the note right below the recording, and from there you correct it, tidy it and search it like everything else.
The voice note goes in the right note, not in a chat.
What you can do
-
Up to 10 minutes, with pause
You record from the browser, pause if someone interrupts you and resume. The counter warns you when only a few seconds are left.
-
Upload a file you already have
A saved voice message, a recording from your phone: with “Upload a voice note” it goes into the note. The most common audio formats work, up to 25 MB.
-
Encrypted and visible only to those who read the note
The audio is stored encrypted with your company’s key and has no public address: every playback goes back through the note’s access check.
-
The text becomes part of the note
The transcript isn’t a separate attachment: it goes into the note under the recording, you correct it by hand and find it with search. Notika keeps no second copy elsewhere.
-
Your company chooses the engine
From Kamzan’s AI settings your company chooses whether to transcribe with a cloud service (Gladia, with its own key) or with self-hosted Whisper, if the installation provides it: in that case the audio goes to no external service.
-
Keep the audio or not: one choice
By default the audio stays in the note even after transcription. Companies with retention constraints set it once: the audio is deleted as soon as the text is ready, never before.
Frequently asked questions
Are recording and transcribing the same thing?
No, they are two separate extensions. “Voice notes” gives you recording and playback and, on its own, doesn’t send the audio outside Kamzan. Transcription is added on top: companies that can’t let their people’s voices leave enable only the first.
Where does the audio go when I transcribe it?
It depends on the engine your company chose. With the cloud service the audio goes to Gladia for transcription, using your company’s key. With self-hosted Whisper, available if the installation provides it, the audio goes to no external service.
Why the 10-minute limit?
Ten minutes is enough for a long thought spoken while walking. Beyond that it’s meeting minutes, and for those there is kMeeting, with its own recording and consents.
If the company stops keeping audio, do voice notes disappear at once?
No. Voice notes already recorded get 30 days’ notice, with the expiry date shown next to them, and whoever recorded them is notified: there is time to transcribe or download them.
Does someone who gets the note through a public link hear the voice note?
No. The public link shows the note’s text, not the voice notes; “Save to Files” and “Download” also leave only the file name in their place. The transcript, being text, does show.
