Organise and find

Three hundred notes, and the one you want is at the top

Everyone tidies up in their own way. Notika gives you folders for clients, labels for topics, favourites for what you open every day and a search that looks inside the text — which you can save so you never have to redo it.

The order that works is the one that takes no effort

If filing a note takes three steps, people stop doing it after a week. In Notika the list sorts itself by date — Today, Yesterday, Last 7 days — and you add the rest when you need it: a “Ferrari Design” folder with “2027 renewal” inside, a “suppliers” label, a star on the notes you open every morning. When you cannot remember where you put it, search finds it for you.

How it works

  1. You write without filing

The new note lands at the top of the list, in today’s group. You do not have to decide where it goes right away: date order keeps everything in line.

  2. You give it a place when you need to

You move the note to a folder, give it a label or a star. With multiple selection you do it for ten notes in one go.

  3. You search, and save the search

A word in the search bar, or advanced search with filters. If you will run it often, “Save as smart folder” and you find it in the sidebar.

You do not need to remember where you put it. Just what it said.

What you can do

  • Two-level folders, in colour

A folder per client and, inside, one per project: two levels are enough to keep things tidy without getting lost in an endless tree. Each folder can have its own colour.

  • Labels only you can see

Labels are personal, even on notes others have shared with you: everyone classifies their own way without bothering colleagues. Up to three can stay at the top of the list, to filter in one click.

  • Favourites and pinned notes

A star for notes you return to often, and up to five “Pinned” ones that stay fixed at the top. A deliberately low limit: if everything is pinned, nothing is.

  • List or grid, grouped by date

List view to scan titles, grid view to recognise notes by their preview. In both, notes are split into Today, Yesterday, Last 7 days and Last 30 days.

  • Ten notes, one action

You select several notes together and, from the bar, move them to a folder, change colour, add a label, favourite them or send them to the bin. Other people’s notes stay untouched.

  • Advanced search

Search titles and text, checklists included. Then narrow it down: whose note it is, whether it has to-dos, images or audio, whether it is a favourite, shared with you or mentions you, and between which dates it was created or edited.

  • Smart folders

A saved search with a name: “Ferrari Design notes with images, last month”. It does not hold the notes, it finds them — and updates itself every time you open it.

Frequently asked questions

If I label a shared note, do my colleagues see the label too?

No. Labels are personal: everyone adds their own, even on the same note, and does not see anyone else’s. So nobody has to wonder whether they may remove a label a colleague added.

If I delete a folder, do I lose the notes inside it?

No. The notes go back to the root of the list, together with any subfolders. The same goes for a smart folder: it disappears from the sidebar, but the notes are untouched, because it does not hold them — it finds them.

Does search also find text inside checklists?

Yes, both lines still to do and those already ticked. Search looks at the title and text of the notes you can see: your own and those shared with you.

Are smart folders shared with the team?

No, like labels they are personal: a smart folder is your own way of looking at notes. To work together you share a regular folder, and whoever receives it sees the notes inside.

Want to see it on your own notes?

We show you Notika with your team’s folders and permissions, not a fake example. Half an hour, and you know whether it is the right place for everyone’s notes.
