Checklists and To-do

To-dos are born in your notes. That is where they should stay within reach

During the meeting with Rossi & Partner you write “send the quote”, “call the purchasing office back”. In Notika they become boxes to tick inside the note and lines in a single “To-do” list, with the person in charge and, if needed, the date.

A task written down and then forgotten costs more than one never written

Whoever wrote it thinks it is safe, while it stays buried in Tuesday’s note. Notika holds both moments together: the to-do lives in the text where it was born, with its context, and at the same time appears in the “To-do” section, where you see all of yours — from every note — and tick them off one after another.

How it works

  1. You write the checklist in the note

One click on the Checklist button and every line becomes a box. You tick it when the thing is done, and it stays there as a record of what was completed.

  2. You assign and, if you like, set a date

From the note’s “To-do” panel you add a to-do and give it to yourself or to a colleague who can edit the note. The date goes in only if you know it.

  3. You find it where you work

In Notika’s “To-do” section, in the “To-do” card of the other Kamzan apps and, if it has a date, in the Klokka Agenda. You tick it wherever you happen to be, and it shows as done everywhere.

Written once, in the note. Ticked off wherever you are.

What you can do

  • Boxes inside the text

The checklist sits next to the note’s paragraphs, tables and images: the shopping list for the event and the supplier details stay on the same page.

  • One list, clear filters

The “To-do” section gathers the to-dos from all your notes plus the ones you write there directly. Filter by To do, Done or All, and from each line you go back to the note it came from.

  • Assigned to whoever works on the note

Under the line you read “Assigned to Giulia”. It can only go to someone who can edit the note: a to-do’s title tells something about the note, and must not reach someone who cannot see it.

  • With a date, in the Agenda

A to-do with a date also appears in the Klokka Agenda, next to the day’s appointments. Without a date it stays a note, and does not clutter the calendar.

  • Tick it off outside Notika too

The “To-do” card sits among the widgets of the other Kamzan apps: while you work in another product you tick off what you have finished, without switching windows.

  • You find them even when ticked

Search also looks inside checklists, both open and closed lines: “when did we send the samples?” has an answer.

Frequently asked questions

Does Notika send me a reminder when a to-do is due?

No. Notika is where to-dos are written and ticked off; the “when” is handled by Klokka. If you set a date, the to-do appears in your Klokka Agenda, together with the rest of your day.

Can I assign a to-do to any colleague?

To whoever can edit the note. If you want to give it to someone else, first share the note with them with Edit permission. To-dos written directly in the “To-do” section, without a note, are yours only.

Does the “To-do” section need to be switched on?

“To-do” is a Notika extension that comes switched on: you find it in the sidebar from day one. The company administrator can turn it off if you do not need it; checklists inside notes remain in any case.

What is the difference between a checklist box and a to-do?

The box lives in the text and serves whoever reads the note: it is the quickest way to mark steps. A to-do also has an assigned person and an optional date, and it leaves the note: you see it in the “To-do” section, in the widgets and, with a date, in the Agenda.
