Sharing and collaboration
Three of you write the minutes, at the same time
Notika notes are private until you share them. When needed, you open them up to the right colleagues — one note or a whole folder — and you work on the same page, each with their own coloured cursor, with no copies going round by email.
The notebook is yours. The page, if you like, belongs to everyone
Notika starts as a personal notepad: no administrator has a command to read someone else’s notes, and anyone without access to a note cannot even see it exists. That is exactly why people are happy to share: you choose who gets a note, with which permission, and you can revoke it whenever you like. For the progress meeting with Ferrari Design, the shared note becomes the minutes everyone completes live.
How it works
-
You choose who and how
From “Share” you add colleagues one by one, as Read only or Edit. It works for a note or for a folder, and a folder brings its subfolders along.
-
The notice arrives
Whoever receives it finds a notification in the Kamzan bell and an email with title and sender — never the content. The note appears in “Shared with me”.
-
You write together
You open the note and at the top you read “Giulia is here”. Her changes appear as she makes them, with her coloured cursor; an @mention gets the right person’s attention.
Private until you decide. Shared only with the people you choose.
What you can do
-
Read only or Edit
The internal stakeholder who only needs to consult gets read-only; whoever works on the text with you gets edit. Permission can be changed or revoked at any time.
-
A whole folder, subfolders included
Share the “Via Roma site” folder once, and every note you add to it — subfolders included — is already visible to the team, with no need to share again.
-
Who sees whom
With “Recipients can see each other” you decide whether those who receive the note know who else you gave it to. Off, each only knows they got it from you; you always see everyone.
-
Live cursors and presence
Several people in the same note, at the same moment: everyone sees the others’ coloured cursors and their changes as they type. No “final_v2” to reconcile.
-
@mentions for those with access
Type @ and pick from the people who can see the note: they get a notice saying “mentioned you in a note”. Anyone without access is not in the list, so nobody is called into a note they cannot open.
-
The Activity panel
Who created the note, who edited or renamed it, who shared it, who added an image or restored a version: all in time order, “Giulia edited the note · 5 min ago”.
Frequently asked questions
Can the company administrator read my notes?
No. Notika has no command to read another person’s notes, not even for the administrator: only the author and those they shared with can see them. The administrator manages settings — bin, versions, whether sharing is allowed — not content.
Can I share a note with an external client or supplier?
Sharing is between colleagues in the same company. To let someone outside read a note there is the Public link, a Notika extension: read-only, mandatory expiry, optional password and one-click revocation.
What happens if two people type in the same spot?
Changes merge as you make them, as in a shared document: nobody overwrites anybody and there is no “save” race to win. If something goes wrong, the Versions history takes you back to how it was.
Can sharing be disabled for the company?
Yes. From the Control centre the administrator can switch off sharing between users: from then on nobody can share notes or folders, and those already shared stay as they are.
The other Notika features
Want to see it on your own notes?
We show you Notika with your team’s folders and permissions, not a fake example. Half an hour, and you know whether it is the right place for everyone’s notes.
