Meetings with several people
When many people meet, everyone’s availability decides
A board meeting, a meeting with three suppliers, a site meeting: you propose the possible times, everyone answers from a link without an account, and Kalendo shows you which time works for the most people.
Aligning five calendars is not a job for email
With several people, every “Thursday works for me” rules someone else out and the reply thread grows. With a poll the proposals sit in a single grid: everyone marks where they can, where maybe and where not, and the organiser reads a result that is already sorted instead of counting by hand.
How it works
-
Propose the times
Choose the duration, period, days and time range, then tap the slots to propose. Times when you already have commitments are greyed out and cannot be selected.
-
Invite the participants
Enter the email addresses and Kalendo sends the invitation, or copy the link and share it wherever you like. Respondents give their name, email and availability, and can change it while the poll is open.
-
Confirm the winning slot
Times are sorted by availability and the best one is highlighted. “Confirm” opens the event already filled in: you save it, the invitations go out and everyone who said they were available at that time gets a confirmation.
The right date is not negotiated: it is read.
What you can do
-
Only propose times when you are free
Kalendo checks the calendars you choose while you create the poll, so you never offer a time you have already given to someone else. You can generate slots from the period or set them one by one.
-
Yes, maybe, no
Each cell in the grid goes from available to maybe to unavailable with a tap. The “maybe” brings out the times that could work with a small adjustment. Kamzan users see where they already have an appointment.
-
One meeting or a series
For a training course or the stages of a project you create a single poll with several meetings: each has its own title, description and locations, and participants vote on each one separately.
-
Locations that leave no doubt
In person, online or hybrid; the same location for every time or a different one for each, useful when there are two offices. Each location can have a photo, description and map link, and the ones you use often are saved as favourites.
-
Times kept aside
While the poll is open, the proposed times can appear in your calendar as “To be confirmed” events, so you do not fill them with something else. On confirmation they disappear by themselves.
-
A clear deadline
You set the day and time after which voting stops, and you can close the poll earlier once you have the answers you need. If nobody has replied after a few days, Kalendo reminds you by email.
Frequently asked questions
Do participants need an account?
No. A name and email are enough to give availability from the poll link. Those who already have a Kamzan calendar get extra help: on times when they are busy they see “You already have an appointment”.
How is it different from a booking page?
A booking page is for when one person at a time picks a free time and the appointment is set immediately. A poll is for when the time has to suit several people together: everyone votes, and the final decision stays with you.
Can I change the poll after sending it?
Yes: you can change the title, description and deadline, add or remove times and invite more people. The poll type — single meeting or series — and the choice between one location for all or one per time stay as set at creation.
