Meetings
A meeting gets set in one step, not ten emails
Add the attendees, see when they are free and send the invitation. Replies come back to the event on their own: you know who is in, who might be and who is not, without asking anyone.
The time lost is the time before the meeting
Setting up a meeting with four people usually means asking for availability, waiting, cross-checking the answers and writing again to whoever did not reply. Kalendo puts it all in one place: you see when colleagues are busy before proposing a time, the invitation goes out with the event and confirmations update as they arrive.
How it works
-
Add who needs to be there
Search for colleagues in your contacts or type the email address of someone outside. For each person you mark attendance as required or optional.
-
Find the free slot
“Find a time” shows, day by day, when the invited colleagues are free or busy, including commitments synced from Google and Outlook. Pick the free slot and the event moves there.
-
Send the invitation and follow the replies
Everyone receives an email with Accept, Maybe and Decline buttons and the invitation to add to their own calendar. In the event you see how many have confirmed and how many are still pending.
Before you propose a time, you already know who is free.
What you can do
-
Video call in one click
“Add video call” creates a kMeeting room named after the event. The link goes into the invitation and attendees join from there.
-
Guest permissions
Decide whether guests can edit the event, invite other people or see the list of attendees.
-
Invitations in the recipient’s language
People with a Kamzan account get the invitation in the language they chose; for outside guests, you decide the language of the email.
-
Changes reach everyone
If you move the time, change the location or cancel the meeting, guests receive the update by email. You do not have to write to anyone.
-
Every reply reaches you
You get a notification for every accept, maybe or decline. If all guests decline, the meeting cancels itself, together with the linked kMeeting room.
-
Outside invitations under control
The administrator can decide which profiles may invite people outside the organisation: for everyone else, invitations stay internal.
Frequently asked questions
Can I invite people who do not use Kamzan?
Yes, an email address is enough. They receive the invitation with buttons to reply and the file to add to their calendar; the reply comes back to the event. The administrator can, however, restrict outside invitations for some profiles.
Does “Find a time” show colleagues’ appointments?
It only shows when they are busy, not what they are doing: no titles, no locations. It counts all their calendars, including those synced from Google and Outlook and recurring meetings, and it works for attendees inside the organisation.
What if a guest can no longer come?
They can change their reply at any time or, from Kalendo, choose “Not attending” and remove themselves from the event. You get a notification every time someone replies.
