Sharing
The team sees the commitments it needs, not everyone’s
Share a calendar with the people who work on it and choose whether they can only view it or also write in it. To know who is available across the company there is the company calendar: it says who is busy, never why.
“Are you around on Thursday?” should not be a question
When calendars stay closed, every bit of coordination goes through a message: who manages the manager’s schedule, who covers whose holidays, who is out of the office today. Opening everything up is not the answer either: a meeting’s title and attendees are not the whole office’s business. Kalendo keeps the two apart — calendars shared with the right people and clear permissions, and a company calendar that only says when someone is busy.
How it works
-
Pick the calendar and the people
From the menu next to the calendar open “Share”, search for colleagues by name and add them.
-
Decide what they can do
Read-only for those who just need to look, read and write for those who manage appointments with you. You can change or remove the permission whenever you like.
-
They find it in their Kalendo
Your colleague receives a notification and an email, and finds the calendar under “Shared with me”, next to their own.
Share availability, not details.
What you can do
-
Read-only or read and write
Read-only users browse the events; those with write access can create and edit them on your calendar, the way an assistant would.
-
Always clear who it is shared with
Under each calendar you can read who you shared it with; in the sharing window you change a person’s permission or remove them.
-
Everyone keeps their own list tidy
Whoever receives a shared calendar can remove it from their own list when they no longer need it, without touching the owner’s calendar.
-
The company calendar, an extension
A shared calendar that shows who is busy or away with name, time slot and a label such as “Busy”. It fills itself: approved absences and closures from Klokka, meetings from kMeeting, events from Kalendo.
-
Each commitment is published by its creator
Events have a “show me as busy” box: if you tick it you appear on the company calendar, everything else stays private. Title, description, attendees, location and video call link are never published.
-
You decide who sees it
The company calendar is shared with “Share”, like the others. Recipients view it read-only: entries arrive on their own, nobody types them in by hand.
In depth
-
Company calendar
Leave, permits, meetings, appointments out of the office: they all end up in a single calendar that authorised colleagues can consult. They read the name and the time slot, never the title, the participants or the reason. And nobody has to update it by hand.
Frequently asked questions
Who can I share a calendar with?
With colleagues in your organisation who use Kalendo, if your profile allows it: you search for them by name in the “Share” window. To show people outside when you are available, there are booking pages.
Who sees my commitments on the company calendar?
Only the people the company calendar is shared with, and they see just your name, the time slot and a label such as “Busy” or “Away”. Of your Kalendo events, only those where you ticked “show me as busy” appear.
How is the company calendar turned on?
It is a Kalendo extension: the calendar is created in Settings, where you also choose how entries read — short or full name, meeting prefix, event label. Then you share it with whoever needs to see it.
