Online booking
Send a link, and the appointment sets itself
Whoever wants to meet you opens your page, sees only the times you are actually free and picks one. They get a confirmation with the invite, you find the event in your calendar: nobody had to write “does Tuesday at 10 work for you?”.
Setting a time should not take six emails
You propose three times, the other person accepts one you have meanwhile filled, and it starts over. With a booking page you set the rules once — when you meet people, how long a meeting lasts, how much margin you need between appointments — and Kalendo offers only the times that respect them, checking your calendars in real time.
How it works
-
Set up the page
Give it a title, choose the duration, the weekly time slots and the calendars to check. If needed, add questions for the person booking and the location, in person or online.
-
Share the link
Put it in your email signature, send it to a client or embed the page in your website, as a button with a popup or directly in the page. The code to paste is copied with one click.
-
The appointment lands in your calendar
The person booking receives a confirmation email with an invite to add to their own calendar; you are notified and find the event in the calendar you chose. If they need to move it, they reschedule it themselves.
You decide when you are available. Others choose when to come.
What you can do
-
Availability on your terms
Time slots for each day, free time before and after every meeting, minimum notice and a limit on how far ahead people can book. You can also cap the bookings per slot: once reached, that slot closes.
-
No double bookings
The page checks every calendar you link to it: if you are busy in any of them, that time is not offered. And if two people go for the same slot, the second is asked to pick another.
-
The information before the meeting
Beyond name and email, ask for what you need: company, phone, VAT number, topic, number of attendees or your own questions, free-text or multiple choice, required if you like.
-
In person or online
Choose the venue from your saved locations, or make the meeting online: for each booking Kalendo generates a dedicated kMeeting link, which the guest finds in the confirmation.
-
Reminders that cut no-shows
The guest gets an email before the appointment: a week, a day, an hour, half an hour before or whenever you decide, even more than one. If you like, you get it too.
-
The page speaks for your company
Public pages carry your company’s brand, show a proper preview when the link is shared and appear as a weekly calendar or in a minimal layout, which is always used on smartphones.
Frequently asked questions
What happens if the guest needs to reschedule or cancel?
From the link in the confirmation they open their booking page: they can cancel it, reschedule by picking a new free time — with a reason, if they wish — or join the online meeting. When it is moved, the previous booking is cancelled and a new confirmation is sent.
Can I include a colleague in every appointment?
Yes, with fixed invitees: the colleagues you list receive the invite for every booking on that page, without the person booking seeing them or having to add them. The person booking can, in turn, add their own people to invite.
Are the commitments I have in Google Calendar or Outlook taken into account?
Yes, if you sync the account with Kalendo and link to the page the calendar those events arrive in: for the page they count like any other commitment, and those times are not offered.
